PRIMARY PURPOSEThe Office Coordinator plays a vital role in ensuring the seamless operation of the office environment by overseeing day-to-day administrative functions and facilities management.This position is based in Tokai offices.Detailed ResponsibilitiesOffice CoordinationAct as point of contact for office-related inquiries and issuesAssist in setting up and maintaining a clean, organized and functional office spaceManage relationships with office supply vendorsOversee the servicing and maintenance of office equipment and supplies (e.g. printers, coffee machines, stationery/groceries)Coordinate the booking of meeting rooms, ensuring no scheduling conflictsHandle all incoming and outgoing courier services for the office, keeping accurate records of courier shipmentsProvide general administrative support to the office staff as neededBuilding MaintenanceSource and coordinate with service providers for office building maintenance (e.g. plumbers, electricians, HVAC, cleaning services)Monitor the condition of office facilities and ensure repairs or maintenance is done in a timely mannerMaintain a database of approved service providers and ensure contracts are in place for the servicesConduct regular inspections of the building to ensure everything is in good working orderOther RequirementsAbility to handle physical tasks such as moving light office equipment and suppliesMay occasionally need to be on-call for emergencies related to building maintenanceCANDIDATE PROFILEQualification:MatricCertificate in Office Administration/Management or relevant fieldExperience:Min 2 years experience in a similar roleSkills:Ability to prioritize tasks and manage time effectivelyAbility to anticipate needs and take initiative in resolving issuesEnsure attention to detail in day-to-day operationsStrong written and verbal communication skillsFamiliarity with Microsoft OfficeInterests:A passion for wildlife and a commitment to sustainability and conservation.
