Key Responsibilities: Office Supplies Management: Oversee the inventory of office supplies. Ensure timely ordering and replenishment of supplies. Diary / Calendar Management: Efficiently manage and coordinate the executives diary, scheduling meetings, and appointments. Proactively address scheduling conflicts and prioritize tasks as necessary. Travel Arrangements: Handle all travel bookings including flights, accommodation, and transportation. Ensure all travel plans are executed seamlessly with a focus on cost-efficiency and convenience. Invoice and Claims Processing: Process and track invoices and expense claims for approval. Maintain records of all financial transactions related to the office and personal expenses. Meeting Minutes and Documentation: Attend meetings to take clear and concise minutes. Distribute minutes to relevant parties promptly and follow up on action items as needed. Assist in the preparation of meeting agendas Project Data Management: Capture, organize, and maintain data related to ongoing projects. Provide regular updates on project status and highlight any areas of concern. Ad Hoc Administrative Tasks: Provide general administrative support as required.
