A well-established Family Trust company based in the Cape Town City Centre is seeking a highly capable Office Administrator to join their team.
What They're Looking For: They are seeking an individual with a formal qualification (degree/diploma in finance preferred), proficiency in Pastel or similar ideally, and excellent organizational skills.
You will play a pivotal role in ensuring the smooth functioning of the office and supporting the Trust's operations.
What They Offer: A supportive and professional work environment.Half-day working hours (8am - 1pm), based in-office in the Cape Town City Centre.Key Responsibilities: Manage general office duties, including office supplies, cell phone administration, garage card administration, and postage.Oversee repairs and maintenance to the office building.Handle courier services and maintain filing records.Serve as the first point of contact by answering telephone calls during office hours.Organize business and family travel arrangements.Attend weekly Wednesday morning meetings and take minutes.Banking Duties: Set up approved beneficiaries and maintain beneficiary lists.Conduct six-monthly reviews of beneficiaries and remove outdated entries.Prepare weekly/monthly payments for various entities.Medical Aid Administration: Submit medical aid claims for family members and ensure timely follow-ups.Review correspondence and address any issues with submitted claims.Conduct monthly reconciliations with medical aid statements.File all medical aid documentation and supporting records.Insurance Administration: File annual insurance policies and manage claims.Perform monthly reconciliations of outstanding claims.Motor Vehicle Administration: File documentation related to motor vehicles and manage annual registrations.Handle fines and other related administrative tasks.Property Repairs & Maintenance: Assist with repairs and maintenance of private homes/properties.Liaise and negotiate with contractors, ensuring appropriate authorizations for Trust-funded projects.Skills & Requirements: Proficiency in Word, Excel, and Google Docs.Strong knowledge of bookkeeping/accounting, with Pastel experience being a must.Exceptional organizational and multitasking abilities.Excellent communication and interpersonal skills.High level of discretion and professionalism.
