Role Purpose: To answer the phone promptly and professionally and ensure that callers are directed to the right person/department efficiently and are delighted with customer service.
To handle the reception and to perform admin duties as directed.
To ensure offices are kept up to the company standards in collaboration with the cleaners.
Experience and Minimum Requirements: 1-year reception experience.Relevant computer skills including email, Excel, Word, and PowerPoint.Used to working to and achieving deadlines.Duties and Responsibilities: To take all incoming calls to ensure that they are answered promptly and either directed to the relevant person or a message is taken.Follow up on any message taken to ensure that the caller is contacted.To handle the reception and to ensure that only authorized visitors are allowed on the premises and that they are suitably escorted by a member of staff.To keep record of stationery issued and email schedule to Financial Manager monthly.Distribute mail, hand deliveries, and faxes daily.Assist with photocopying and other admin-related functions as directed from time to time.To collaborate with cleaners on a day-to-day basis to ensure health & safety standards and cleaning standards are maintained.Coordinate general office requirements (e.g., groceries, toilet paper) and office upkeep.Liaising with relevant suppliers related to office administration including printers and upkeep to ensure high-quality standards are kept in the office.Work closely with other key Masslift personnel internally to develop and achieve company budget, performance, and strategic objectives.Undertake formal skills training programs for own development to satisfy the required skill levels for the position.To be part of good people management ensuring that you have a formal balanced scorecard and that the required performance reviews are conducted twice a year.To follow required health and safety, environmental and company standards and policies.To follow the company code of conduct and policies.
