Job Description
At Jika Uluntu, we employ a systems change approach, collaborating with communities and stakeholders to implement meticulously researched and structured interventions for our beneficiaries. In this context, the PA/Office Administrator plays a crucial role by providing comprehensive personal assistant services to the Director while also handling office support and administrative functions.
Key Responsibilities
Executive Support
Manage the Director's calendar, scheduling meetings, appointments, and travel arrangements.
Prepare and organize reports, presentations, and documentation.
Act as the primary point of contact between the Director and stakeholders.
Handle confidential information with discretion.
Office Administration
Oversee day-to-day office operations.
Ensure the office is well-maintained and organized.
Monitor and track office expenses.
Implement and maintain office policies and procedures.
Process Improvement
Track and document the implementation of new administrative processes.
Identify areas for improvement in office procedures.
Regularly review and update office policies.
Communication & Liaison
Monitor response times to communications.
Collect feedback from stakeholders to assess communication effectiveness.
Ensure the Director is informed of important updates.
Document and Records Management
Ensure all administrative documents are accurately prepared and organized.
Conduct regular audits of office records.
Prepare and maintain a log of key office activities.
Requirements
Qualifications
Relevant tertiary qualification in administration or a related field.
Proven experience as an Office Administrator or similar role.
Skills and Competencies
Excellent organizational and multitasking skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite.
Ability to manage multiple priorities.
Discretion and professionalism.
Desirable
Experience in process improvement.
A proven track record of providing high-quality support to executives.
