POSITION STATEMENT Maintaining detailed records of vehicle servicing and inspection and scheduling regular vehicle maintenance to ensure operational efficiency. To manage the fleet of the Company by interacting with various suppliers and staff.
Vehicle Utilisation, Maintenance, Productivity and Tracking Ensure efficient vehicle utilization, maintenance, productivity and tracking. Coordinate vehicle maintenance schedules to minimize downtime and keep the fleet in a roadworthy condition. Includes vehicle licensing and fine management, Bi-weekly inspections of vehicles are performed nationally fleet, and record keeping is complete with variance reporting on outstanding inspections with reasons why. Bi-weekly inspections of equipment and tools are performed nationally, along with first aid kits and fire extinguishers with variance reporting on outstanding inspections with reasons why. Reduction in no movement report (total vehicles with no movement and total days of no movement) – improve vehicle downtime and ensure team productivity does not suffer as a result of vehicle availability. Reduction in time to complete insurance claims for fleet related claims (vehicles and equipment). Custodian of fleet policy – ensure policy is well communicated and adhered to. Ensure strong control environment and culture to manage driver behavior and improve behavior metrics (telematic scores). Improve fuel efficiency – ensure process is in place to investigate each suspicious transaction and vehicles with poor fuel economy compared to similar vehicles. All drivers are vetted for driving licenses, assessed for driving ability and overnight parking location is safe. All checks are documented in administration systems being used at the time and updated annually. Propagate driver incentive policy and other feasible initiatives (potentially dashcams / defensive training for example) that will improve the risk environment. Escalate incidents where you feel the HR/Ops action is not adequate for incident management and disciplinary purposes. Fine management – prompt settlement and AOD process to be followed. TOOLS & EQUIPMENT Checking the state & quality of the tools. Assessing damages to see if they were caused due to negligence on the techs part or wear & tear Ensuring the equipment is in good condition. Checking that all chargeable equipment is fully charged & working correctly (splice machines, OTDR's, flood lights, etc.) Sending through reports to relevant parties for the ordering of new tools / equipment along with a motivation as to why it is needed Liaisons Maintain contact with the relevant licensing authorities, insurance, credit providers and short to medium term rental providers. Take required actions in the event of incidents and accidents. This includes assisting Insurance and HR and OHS with reports and statements. Compliance Advise BritelinkMCT staff on all legal and compliance matters relating to vehicles, insurance and OHS policies. Attend to the administration of the company's car policy to ensure compliance. Fuel card control: Administer fuel cards; identify trends, poor driving behavior and pre- and post-vehicle inspections. Investigate and report on accidents and incidents. Record keeping and reporting Maintain all necessary records to ensure that vehicles provided by the Company comply with legal and business requirements. Control the quality and the accuracy of documents. Ensure all speeding fines are paid. Submit fines to driver(s) and arrange for payments of fines. This includes following up outstanding items. Compile and submit reports relating to vehicle utilization, maintenance and tracking. Management Duties and Manco Reporting Report to Finance manager fleet on a weekly and or monthly basis on all matters pertaining to the fleet. Assist Manco with Vehicle placement, new vehicle requirements and department costing.
