Our client in the shipping industry is seeking an experienced and proactive Marketing Assistant/PA to the MD.
This is an exciting opportunity for a seasoned professional to bring their expertise to a fast-paced and dynamic environment, driving impactful marketing initiatives while providing high-level executive support.
Duties include, but are not limited to: Marketing Assistant Duties: · Manage bookings for all trades and ensure accuracy.
· Conduct daily telesales and canvassing for import/export-bound cargo.
· Coordinate approvals for hazardous cargo, special equipment, and stowage requests.
· Monitor tonnage allocations and liaise with branches for additional space if required.
· Update export client statistics and prepare various reports.
· Handle rate negotiations, quotations, and client queries in the absence of sales representatives.
· Assist with customer queries, transshipment details, and promotional events.
· Organize and distribute marketing materials, calendars, and gifts across branches.
· Track shipments, compile sales meeting minutes, and prepare KPI and partner reports.
· Promote and manage bookings via e-services and intra platforms.
PA to MD Duties: · Provide comprehensive support to the MD in organizational and operational matters.
· Manage applications, reconciliations, and statements for petrol cards, credit cards, and cell phone contracts.
· Arrange domestic and international travel, including flights, accommodation, and car hire, and ensure reconciliation of travel statements.
· Organize and coordinate meetings, conferences, and events, including preparation of reports and minutes.
· Oversee office functions, including purchasing supplies and organizing gifts.
· Assist with BOD meeting preparation, including compiling booklets and taking minutes.
· Submit monthly reports, including subsistence and petrol limit reports.
· Ensure timely communication of public holidays to stakeholders.
· 5 years experience in the shipping industry.
· Relevant shipping-related certifications.
· Fully proficient in MS Office Suite, including Excel, Word, Outlook, and PowerPoint.
· Excellent customer service and relationship management skills.
· Comprehensive knowledge of clients, markets, port restrictions, and commodities.
· Proven experience in a similar role supporting a Senior Executive Director for at least 5 years.
· Strong communication, organizational, and administrative skills.
· Ability to meet deadlines and perform well under pressure.
