Job Description:
The overall objective of this Operations Admin Manager role is to effectively manage and oversee the general office administration of Tautliner/Refrigerated Transport operations as well as supervise an administrative team and ensure daily tasks are completed seamlessly.
Requirements:
Matric
Advanced Studies (Tertiary Diploma/Degree) advantageous
Experience in a transport environment is essential.
Admin Management/Supervisory experience.
General administrative experience
Overall understanding of HR procedures.
Must be fluent in Afrikaans
Responsibilities:
Administration Manager Duties:
Manage schedules and deadlines.
Leave administration.
Reporting and recons.
Ensuring that client requirements are met.
Queries.
Monitoring inventory of office supplies and the purchasing of new material with attention to budgetary constraints.
Payroll.
Finance support (Debtors/Creditors/Pettycash).
Maintain positive office morale and plan/facilitate staff birthdays, office events and team building activities.
Ensure the smooth and adequate flow of information within the company.
Recruit and train personnel and allocate responsibilities and office space.
Assessing staff performance and providing coaching and guidance to ensure maximum efficiency.
Driver contracts and submitting full employment pack to HR.
Ensuring that licences/PDPs and asset/fleet lists are up to date on the in-house system.
Planning and coordinating administrative procedures and systems and devising ways to streamline processes
Administration Duties:
POD data capturing on in-house system and invoicing.
Ensuring POD packs are complete and correct.
Liaise with Fleet Managers to ensure outstanding PODs. are requested and received.
Matching and requesting outstanding purchase orders.
Fuel capturing on in-house system.
Weekly fuel recons.
Scanning and filing.
Ensuring client requirements are met.
Queries.
Fines.
Licence/PDP administration.
