Litigation Secretary

Job Description: A Law Firm is seeking an experienced Litigation Secretary to join its dynamic legal team. The ideal candidate will provide administrative and secretarial support to attorneys, specifically in the area of litigation. Responsibilities: Document Preparation: Drafting, formatting, and proofreading legal documents such as pleadings, motions, briefs, and discovery materials. Filing Court Documents: Managing the electronic and physical filing of legal documents with courts, ensuring they meet deadlines and comply with court rules. Case File Management: Organizing and maintaining case files, including correspondence, legal documents, and evidence, to ensure they are easily accessible. Scheduling: Coordinating appointments, court appearances, depositions, and meetings for attorneys, clients, and other legal personnel. Client Communication: Acting as a point of contact for clients, answering inquiries, and providing updates on case progress as directed by attorneys. Court Liaison: Coordinating with court officials, including clerks and judges' chambers, to manage case filings, hearing schedules, and court appearances. Research: Assisting attorneys with legal research, document retrieval, and compiling information relevant to the case. Administrative Tasks: Handling general office duties, including managing correspondence, scheduling, answering phones, and billing. Tracking Deadlines: Monitoring and managing important deadlines for filings, court appearances, and other time-sensitive legal actions. Supporting Attorneys: Providing general administrative support to attorneys in all litigation-related activities. Qualifications: At least 5 years experience as litigation secretary in a law firm; The ability to draft and prepare High Court-, and Magistrates Court documents; Knowledge of the court processes in the High Court and Magistrates Court; Outstanding communication- and typing skills; Bilingual (Afrikaans and English)- particularly English; Proficient in MS Office; Experience in LegalSuite; Ability to pay attention to detail; to be proactive; and to organise and prioritise; Ability to work independently and under pressure.
