Role OverviewThe Legal Operations Coordinator is responsible for managing the allocation of work received through various Legal Mailboxes, maintaining workflow spreadsheets, and preparing weekly reminders for outstanding tasks. They play a crucial role in ensuring regulatory compliance by submitting documents to Regulatory bodies, tracking submissions and queries, and building client relationships. Additionally, they assist in drafting rules and amendments, minute meetings, and provide administrative support to the legal team. With strong organizational skills and attention to detail, they facilitate efficient workflow management and contribute to the overall effectiveness of the team.
Duties and responsibilitiesAllocate work received via the various Legal Mailboxes;Maintain workflow spreadsheets;Prepare weekly reminders for outstanding work allocatedSubmit documents to Regulatory bodies (PFA, FSCA, other) Follow- ups to the FSCA, and consultants;Track submissions and queries from Regulatory bodies;Maintain & build client relationships with FSCA, and consultantsAssist in drafting of rules, special rules & amendments;Assist with Legal and technical queries under Guidance of other team members.Ensure all rules & amendments are sent to the relevant consultant for signatureEnsure all rules & amendments are submitted to the FSCA;Minute all meetings within the legal team;Prepare monthly production report for monitoring purposes & submit to management;Audit all legal files, scanning & follow up on missing correspondence;Action Fund appointments on FSCA website;Supporting & assisting consultants with queries, follow-ups, rules requests;Prepare reports for Exco, Manco, Fund board meetings;Coordinate weekly workflow meetings with team;Assist with general administration within the teamPension Funds Adjudicator and FSCA Complaints Liaising with the PFA and FSCA offices;Maintaining and updating a spreadsheet of all the Complaints;Submission of all responses to PFA and FSCA Complaints;Manage Meeting request process;Schedule of Conciliation Hearings and Requesting teleconferences;Applying for extensions;Upload all complaint on CMS;Updates to all parties where necessary ;Follow ups in respect of Complaints.Monitoring Monitor 100% use of electronic data i.e. uploads, downloads, comparison etcMonitor -100% compliance with the style guideMonitor-100% compliance with legislationMonitor-100% compliance with company processes and proceduresUse of task control – measure turnaround timesCustomer Focus Effective communicationIdentifying and complying with clients (NMG/business) needs and expectations – filter this through to the admin teamBuilding relationships and gaining clients' trustPutting the client firstProfessionalismRegular reporting and feedback to internal and external clientsMeet turnaround times 98% of the time.Effective planning and meeting goals – ensure that the teams have planners in place and that goals are measured regularly by managementMonitor-100% compliance with Service level AgreementTrouble shooting/dealing with high level client queriesEnsure that minutes and feedback is provided after client meetings.
