Your role extends beyond spreadsheets and invoices; it's about orchestrating seamless transactions, building relationships, and ensuring our clients receive unparalleled service.Key ResponsibilitiesReceive and process sales orders via phone, email, or WhatsAppAssist and deal with walk-in customersVerify product availability and pricing informationMaintain price-listsAccurately enter sales orders into the systemManage and print picking slips and coordinate with relevant warehouse departmentsCoordinate with warehouse and logistics departments to ensure timely delivery of ordersCommunicate with customers regarding order status, shipping details, and any delays or issuesResolve customer complaints and inquiries related to sales ordersMaintain accurate records of customer information, customer accounts, and order historyCollaborate with other departments to ensure efficient and effective order processingAccurately invoice picking slips when an order is being dispatchedFile picking slips, PODs and upload to serverStand-in and assist when other staff members are on leavePerform any other duties as assigned by the Branch Manager and Supervisor.QualificationsMatric certificate1-2 years of experience in a sales support or customer service roleStrong computer skills, including proficiency with Microsoft OfficeExperience using SAGE evolution software is criticalAbility to read and write in both English and AfrikaansExcellent communication and interpersonal skillsStrong attention to detail and accuracyAbility to work independently and as part of a teamAbility to prioritize and manage multiple tasks in a fast-paced environmentExperience working in a manufacturing or distribution environment is a bonus.Key AttributesOrder Accuracy Rate: This KPI measures the percentage of sales orders processed without errors. A high accuracy rate indicates that the Sales Orders Clerk is diligent and detail-oriented in their work, which can lead to fewer customer complaints and higher customer satisfaction levels.Order Cycle Time: This KPI measures the time it takes to process a sales order from receipt to delivery. A shorter cycle time indicates that the Sales Orders Clerk is efficient and effective in their work, which can lead to faster order fulfillment and better customer service.Order Fulfilment Rate: This KPI measures the percentage of sales orders that are delivered on time and in full. A high fulfillment rate indicates that the Sales Orders Clerk is working effectively with other departments such as warehouse and shipping to ensure the timely delivery of orders.Customer Satisfaction Rate: This KPI measures the percentage of customers who are satisfied with the Sales Orders Clerk's performance. This can be measured through surveys or feedback forms.
