Duties and responsibilities Reception duties: o Ensure that all guest reports, dockets and correspondence are completed accurately and punctually. o Manage reservations. o Check-in and checkout- procedures are strictly adhered to. o Report faults to Maintenance. o Liaise closely with Housekeeping on check-in and checkouts. o Ensure all takings for the day are correct, balanced and banked according to the policy and procedure. o All charges are correctly entered onto the Guest's Folio. o Float, cash and credit takings for shift are balanced and cashier report completed. o Handle conference enquiries. o Carry out any other function and responsibility as is directed, to ensure the smooth running of the front desk. o Must be willing to work assigned shifts and weekends. o Assist on occasion with breakfast and other functions. Administration Duties: o Ensure that all email, telephonic and walk-in requests are met and responded to in a timely manner. o Book catering orders as per every request. o Book conference venues for clients. o Ensure that information obtained from clients is correct/ accurate. o Ensure that information obtained for functions is communicated with the relevant stakeholders - Wednesdays. o Liaise with the Kitchen on functions and stock. o Liaise with operations regarding information and logistics pertaining to functions. o Report on any problems that might occur - incorrect orders, late deliveries, special dietary requirements, etc. o Ensure charges are entered correctly onto Client's Folio. o Reconciliation of payments received by checking transaction lists. o Follow-ups on all outstanding invoices. o Obtaining quotes from vendors for clients. o Assist with functions when required. Inherent requirements: Bachelors degree or an Advanced Diploma/B Tech degree/postgraduate certificate on NQF Level 7 or a three-year national diploma on NQF Level 6 in Hospitality Management or relevant field. Recommendations: Knowledge of a booking system. Job Requirements: The following criteria apply to the selection of candidates: The applicant should not currently be participating in an existing learnership/internship programme. The applicant should not have any previous formal work experience. The applicant must be willing to sign a learnership/internship agreement with UFS. The applicant must be available for the period of 1 year to participate in the learnership/internship.
