Job Introduction: Inception Administrator - G4S Deposita - Midrand - South Africa Deposita SA, a world renowned Cash Management Company Specializing in Smart Solutions For Banking, Retail & Wholesale Sectors has a vacancy in the Inception Department.
Reporting to the Inception Office Manager, the successful candidate will be responsible for ensuring that clients are satisfied with services rendered by the company.
Lead positive experiences for customers in order to support the company.
The successful incumbent should be a self-starter with a proven track record in maintaining company policy, adopting best practices, and is able to exercise sound judgement in the pursuit of the achievement of the goals of the organisation, and understanding the role which technical support plays within a successful business unit.
The incumbent will be expected to be results driven and to live the values of the organisation.
Role Responsibility: 1.
Client Cards Processing Create and load client cards in accordance with the established SOP.
Rigorously test each card to meet quality standards before client distribution.
Delivery Coordination: Log delivery calls initiated by the Call Centre.
Follow up with Operations for timely and accurate delivery of cards to clients.
Communication and Documentation: Effectively communicate card shipments to clients through email.
Record waybill numbers for traceability and documentation purposes.
Client Engagement: Keep clients informed about the progress of their card requests.
Provide continuous updates until the successful delivery of the requested cards.2.
Effective email administration and telecommunication Monitor and manage incoming emails.
Respond promptly to inquiries and requests.
Organize and categorize emails for efficient retrieval.
Ensure email correspondence adheres to company guidelines and standards.
Implement filters and rules to manage incoming emails effectively.
Regularly review and clean up the email inbox.
Collaborate with team members on email-related tasks.
Address and resolve any email delivery or technical issues.
Update email distribution lists as needed.
Maintain confidentiality and security of sensitive information in email communications.
Oversee the cardless process.
Attend all telephone / Cellphone communication platforms.3.
General Inception duties / Standing in for a team member Familiarize yourself with the absent team member's ongoing projects and tasks.
Respond to urgent emails and communications on behalf of the team member.
Attend scheduled meetings and provide updates on behalf of the absent team member.
Address any immediate issues or concerns related to the team member's responsibilities.
Coordinate with other team members to ensure a seamless workflow.
Prioritize and manage tasks according to the absent team member's priorities.
Communicate with relevant stakeholders to keep them informed of the temporary change.
Document any decisions or actions taken during the period of standing in.
Collaborate with the team to maintain project timelines and deadlines.
Handover information and updates to the returning team members upon their return.4.

Health and Safety Report all safety incidents to the relevant people.
Discuss all safety incidents on all levels.
Follow-up on any activities assigned through safety meetings / committee / representative / management.
Comply with safety policies and procedures at the workplace.
Distribute safety information as and when required.Log delivery calls initiated by the Call Centre.
Follow up with Operations for timely and accurate delivery of cards to clients.
The Ideal Candidate: 1.
Qualification & Technical Experience Required Grade 12 Qualification.
Computer literate - ability to work on Excel, MS Outlook, Word.
Communication (written and verbal).
Sharing and cooperating.
Problem Solving.2.

Dealing with changing circumstances.
Attention to detail.
