Job title: Human Resources OfficerJob Location: Gauteng, JohannesburgDeadline: December 26, 2024Qualifications:Grade 12 or MatricNational Diploma in Human Resources Management or relevant qualificationDegree in Human Resources Management will be advantageousSAGE, VIP, SAP certificateDriver's licenseAttributes:Attention to details, systems oriented, organized, analyticalExcellent communication skills in English and sound ability to communicate effectively across all levelsSelf-motivated, honest, high integrity, courteous and helpfulThe ability to function well under pressure, prioritize matters, and act on them accordinglyThe ability to function both independently and in a team, take initiative, show commitment, and be motivated to achieve tasks in the required time frameCoordinating time and resources well and demonstrating strong interpersonal and mediation skills with a positive attitudeNeeds to be culturally aware with good ethics, problem-solving, and visionary thinking competenciesContinuously pursues to improve skills through on-the-job or external trainingUnderstands the importance that parents play in our community, that education is the key proponent in the organization, and that we serve the students and parentsDemonstrate aptitude or competence for assigned responsibilitiesExcellent written and verbal communicationPreferred Skills and Experience:A minimum of 3 years HR experienceStrong computer experience including knowledge on various HR systemsPrevious experience working in the educational sector and within a multinational environment is advantageousUnderstanding and experience in dealing with onboarding and exit documentationSound knowledge of the South African Labour LawsStrong interpersonal skills and ability to work with the UnionsExcellent administrative skills and experienceMultilingual and ability to engage with employees at a lower level in their own languageStrong mediation and negotiation skillsExperience in VIP or Sage PayrollPerformance Responsibilities:Recruitment and Selection:Administratively support HR department, on the release of adverts, shortlisting, setting interviewsSupport HR recruitment process by providing credential checks and ensuring that records are kept safelyCollect all onboarding documents and ensure that employees are captured on the HR System and registered with PayrollFacilitate the application of employee benefits such as medical aid, pension, life and dread disease coverEnsure proper filing of completed interview guides are kept and made available upon requestsEmployee Relations:Receive and file all disciplinary warnings and ensure that records are kept safelyAssist in taking minutes during the disciplinary hearingsReceive and submit to payroll all the union application and cancellation formsProvide monthly union membership lists and do conciliation with payrollRetrieve documents and assist in the compilation of evidence in preparation for disciplinary processProvide administrative support to Employment Equity Committee, including keeping attendance registersRepresent the company at CCMA in the conciliation processes and occasionally during Arbitration processTraining and Development:Assist with the collection of Individual Development Plan or forms part of the Team Development PlanAssist with the collection of training details and ensure that they are recorded and reported accordinglyReceive and file all training attendance registers and file certificates receivedFacilitate performance management activities, including ensuring that annual performance scorecards are discussed and agreed upon at the beginning of the school yearHR Administration:Ensure proper record keeping including employee filing, training records, interview records etcEnsure accurate payroll input and that it is submitted in timePlay an active role in benefit applications such as medical aid, pension and other aspectsEnsure information is updated from time to time including family informationEnsure that all employees complete the correct engagement documentsFacilitate the change of banking details, medical aid, marital status etcProduce leave reports and advise line management on leave forfeiture and other leave related issuesFacilitate the exit documentation for exiting employeesKeep all probation and onboarding documents for newly appointed employeesPlay an active role during wellness days and wellness programsPlay a critical role in the collection and recording of performance scorecardsPolicies and Procedures:Drive HR policies awareness and educate Ops staff on different HR policies and proceduresGuide and assist line management to comply with the HR processesAssist with leave administration in the ESS system
