Employment EquityØ Assist with compilation and submission of the EE reports to the Department of Labour annually by deadline date.Ø Form & Chair the EE committee.Ø Organize and plan quarterly EE meetings.Ø Minute and distribute meeting minutes.Ø Ensure usage of the EE module on Sage Payroll.Workplace Skills Plan And Annual Training ReportsWork closely with the Training & Development Officer and:Ø Assist with the compilation and submission of the online reports to Seta.Ø Planning and organizing training.Ø Application of Learnerships via the Pivotal section of the online submission.Ø Ensure usage of the SD module on Sage Payroll.Recruitment ProcessFollow the full recruitment system, including PPA and fingerprinting.Ø Oversee the coordination of recruitment throughout the company.Ø Set Up Interviews.Ø Conduct Interviews.Ø Ensure that Job Advertisements are placed in various media.Ø Ensure that internal adverts are sent out.Ø Compile a comprehensive Recruitment Data Base from CVs received.Ø Conduct Reference Checks.Ø Conduct Exit Interviews.Induction ProcessØ Maintain and follow the Induction process within the organization.Ø Training of the Induction process.Ø Ensure that the induction schedule is signed and returned.BEE Compliance & ImplementationØ Assist the National HR Manager in the preparation of the BEE verification audit file on all Elements of the Scorecard.Ø Active involvement in all Elements of the scorecard.Ø Must have a full understanding of current BEE legislation and requirements.General Human Resources DutiesØ Drafting of Letters of Appointments & Job Descriptions.Ø Ensure that the necessary counselling is given or arranged to the staff when necessary.Ø Ensure effective communication with the employees.Ø Ensure effective mentoring of employees when necessary.Ø Input in drafting of Policies and Procedures.Ø Monitor company policy and procedures in line with group policy and prevailing legislation.Ø Maintain KPI and Performance Appraisals system.Ø Ensure all staff receive performance appraisals in accordance with company policy and monitor accordingly.Ø Maintain a succession plan for all departments.Ø Attend daily Operations meetings.Ø Must be up to date with current and prevailing labour legislation.Ø Ensure that all policies and procedures are authorized by the Senior HR Manager prior to being distributed to employees.Ø Have valid input for the monthly Newsletter, this must be submitted timeously.Ø Ensure that the Newsletter is ready for distribution by the deadline date.Ø Ensure that the Employee of the Month nominations are received timeously. Confirm file checks on these nominations and consult with Snr HR Manager and HODs to finalize the winner.Ø Assist Senior HR Manager with compiling the summarized report to Senior Management of the business on a monthly basis.Ø Ensure that a weekly HR report is sent to management.Ø Ensure criminal checks are done for new employees in advance.Ø Ensure criminal checks are conducted for all existing employees every 2 years.Ø Ensure Daily Labour costs are done and submitted.Ø Manage the Time & Attendance system.Ø Manage the on-site Clinic.Ø Implement Wellness initiatives.Ø Arrange counselling for employees when required.IRØ Deal with all performance, grievance and IR related issues in a legally compliant and professional way.Ø Conduct all investigations regarding theft and other disciplinary issues.Ø Issue the relevant Disciplinary action and documentation.Ø Arrange and sit in disciplinary hearings.Ø Ensure that all IR related employee documents are signed and are in the employee's file.Ø Preparation of Notice to attend a hearing, absconsion, written warnings, etc.Ø Notify all necessary people including the employee of the findings.Ø Attend CCMA/BC cases on behalf of the company.Ø Ensure De-Merit Point Warnings are issued.Ø Ensure Alert Warnings on points are issued.Ø Attend Union Meetings.Ø Investigate the daily absenteeism and issue the necessary disciplinary actions.Payroll ManagementØ Ensure management of the JNB payroll:Ø Payroll is captured.Ø Deadline dates are met.Ø Ensure payslips are printed and distributed monthly.Ø Ensure that all payroll-related filing is done monthly.Ø Ensure that all employee files are up to date.Ø Prepare all 3rd party payments and schedules by deadline dates, including but not limited to:Ø Garnishees.Ø Maintenance Orders.Ø Funeral Contributions.Ø Union Contributions.Ø Bargaining Council Contributions.Ø Provident Fund Contributions.Ø Ensure that all third-party preparations are submitted to finance timeously for payments.Ø Archive all terminated employee files.Ø Ensure regular Employee file checks are done.Ø Ensure submission of electronic UIF declarations and claims via U-filing.Ø Ensure submission of all injuries on duty via the online portal.Ø Ensure that the year-end OID report is submitted to finance for payments.Ø Ensure that the monthly leave report is monitored and further submitted to the finance department.GeneralØ To observe all safety rules and procedures.Ø To ensure that all equipment and materials are not left in a dangerous state.Ø To ensure all HSE rules & procedures are followed and hazards/near misses and accidents are properly reported.Ø To raise any work-safety hazard when participating in HSE meetings or Risk Assessment.Ø Any other reasonable task that may be required by management.QualificationsGrade 12Diploma in HR ManagementHR Degree will be an advantageCertificate in Industrial Relations will be an advantageDriver's Licence and Own vehicleExperience3 Years' ExperienceSkillsCommunicationOrganizational DevelopmentPlanning & OrganizationEmployee EngagementLeadershipEmployee RelationsCompetenciesEthical ApproachProfessional ApproachConfidentialityEmotional IntelligenceIntegrityMentoring
