Summary Statement:
The purpose of this position is to provide comprehensive Human Capital administrative support to CFAO Equipment HC teams across all disciplines of Human Capital. The role requires working closely with the Human Capital Manager, HC Administrators in the branches, and Payroll Department to deliver excellent quality service to the business. Responsibilities include collation and distribution of personnel documentation, recruitment, employee benefits, reporting, maintenance of departmental policies and procedures, and queries management.
This role is required to assist with the alignment of company HC/IR processes with the Vision and Mission and ensure employment activities are in line with the South African Labour Law and other related regulations.
ProfileKey Performance Areas: Payroll Input Admin:
Collate all payroll input including overtime and commission, change of banking details, medical aid changes, employment benefits, and any other payroll-related activity for Payroll Processing purposes on a monthly basis.
Check GM reports for accurate capturing of payroll.
Send Medical Terminations to medical aid for terminations monthly.Recruitment:
Circulate divisional and group vacancies.
Assist HC department with the screening of applicants for vacancies.
Request dummy payslip where required.Employee take-on:
Receive payroll input pack and check documents for accuracy and completeness.
Submit input to payroll department on or before deadline.
Prepare and distribute relevant employment contracts.
Collate new employee checklists and ensure personnel information is captured onto relevant systems.
Facilitate the process of electronic filing of new and existing employee information.Benefits:
Submit and follow up with claim withdrawals, fund transfers, and related queries.
Liaise with provident fund on disability application and claims.
Facilitate benefits plan evaluations and changes including plan analysis.
Distribute benefit statements & medical aid cards.
Coordinate Employee Wellness activities.Employee Wellness:
Facilitate employee wellness days bi-annually.
Communicate monthly Ask Nelson Campaigns / Webinars.
Receiving and distributing wellness posters in line with the monthly theme.Terminations:
Collate Exit interviews and identify trends.
Collate and submit Termination Packs for Payroll Input purposes.
Submit monthly employee termination & new engagements list to IT.Reports:
Prepare and submit Staff Headcount Report to KAELO/EAP.
Stats SA (quarterly).
Long Service.
Medical aid terminations.
Birthday List Report.ISO:
Maintain department records.General Administration:
Create or update Job Descriptions, Job Profiles on an annual basis.
Distribute payslips, benefit statements, and bulk employee communication when required.
Issue Long Service Certificates for all business units on a monthly basis.
Ensure prompt and accurate payment of 3rd party suppliers to the Human Capital Department.
Co-ordinate the annual declaration submission and filing.
Handle general employee queries and confirmation of Employment.
Ensure that an updated vacancy schedule is kept for CFAO Equipment.
Request and electronically save Performance Appraisals and Scorecards twice per annum for CFAO Equipment.
Assist with capturing of payments on Kerridge as necessary.
