Working hours are flexible between 7:00 and 18:00.Key Duties & Responsibilities:HR Operational & Administrative supportMaintaining accurate and up-to-date employee records.Assist employees with document requests.Efficient, accurate recording, monitoring, and managing of the employee database system (SimplePay).Import overtime schedules as necessary.Ensure that leave scheduling is done.Process leave information.Administer payroll in absence of HR Manager and handle payroll queries if necessary.Administer employee rewards and recognition programs.Regular maintenance of probation / performance reviews.Update records to accommodate new hires.RecruitmentRecruitment and Onboarding of Employees.Drafting of adverts and placement; shortlisting.Interview scheduling, contacting candidates for interviews; and organising venue for interviews.Participate in interviews.Assist with pre-employment checks.Complete onboarding for new employees.Ensure proper administration of exits such as resignations, retirements, and dismissals. Budget & Cost ControlMonitor HR department budget and payroll distribution.Risk Management & ComplianceAdhere to statutory regulations, organisational standards, policies, and procedures.Report non-compliance and implement corrective actions to ensure compliance.Guide and ensure that the minimum annual increases are in line with legislation.Create and complete all duties for HR - Standard Operating Manual.Support the development and implementation of HR initiatives and systems.Undertake and complete the IR & ER processes including managing disciplinary enquires and representing the Company at CCMA and Bargaining Council.Maintain first aid kits.Track Health & Safety, and provide necessary training as required.ReportingMonthly completion of HR reports.Where necessary oversee and assist with compilation of ad hoc reports.Write reports on HR department activities.Stakeholder Relationships & EngagementSupport managers with queries relating to people management (this includes and is not limited to, training and development, recruitment, industrial and employee relations, talent and performance management etc.)Build support and maintain interpersonal and team relationships to ensure a stable working environment and achievement of team objectives, working towards staff retention.Responding to HR-related queries from managers and operational staff, and seek solutions where appropriate.Guide management and assist with disciplinary issues such as warnings, counseling sessions, grievances, etc.Train management on the proper implementation of the disciplinary, grievance, poor performance and incapacity procedures.Schedule meetings with labour consultants to chair disciplinary enquiries.Documenting and reporting on the outcomes of disciplinary hearings.Preparing documentation and evidence for CCMA (Commission for Conciliation, Mediation, and Arbitration) hearings.Liaising with legal advisors and representing the company at CCMA hearings as required.The attendance of CCMA cases.Maintaining up-to-date records of all CCMA cases.Providing guidance and support on HR policies, procedures, and best practices.Ensure compliance of all personnel documentation with the internal policies and procedures and the availability of these records when required.Conducting investigations as required.Training and developmentMaintain training records.Keep track of training expenses.Assist with Annual Training Report /Workplace Skills Plan creating, execution and reporting.Conduct training and development programs to enhance employee skills and knowledgeGeneralCoordinate with other HR professionals if necessary.Research new HR trends.RequirementsBachelor's degree in Human Resources, Business Administration, or a related fieldAt least 3 years of experience in an HR roleStrong knowledge of local labor laws and regulationsExcellent interpersonal and communication skillsAbility to maintain confidentiality and handle sensitive information with discretionExperience in managing mid-high volume recruitmentStrong organizational and time management skillsProficient in Microsoft Office Suite and HR softwareAbility to work independently and as part of a teamExceptional attention to detail and accuracyValid driver's license and own vehicle.CompassionCreativityDecision-making
