Job Title: HR and Compliance Officer
Reports to: Director / General Manager
Job Purpose:
The HR and Compliance Officer is responsible for managing human resources functions, ensuring compliance with the Protection of Personal Information (POPI) Act, and overseeing company-wide compliance with regulatory and organizational policies. This role combines HR expertise with a strong focus on legal compliance to support a safe, productive, and legally compliant workplace environment.
Key Responsibilities:
Human Resources (HR) Management
Oversee recruitment, onboarding, and offboarding processes to align with organizational objectives and ensure adherence to HR best practices.
Develop and implement HR policies, ensuring they are updated, legally compliant, and aligned with company culture.
Manage employee relations by handling employee concerns, conflict resolution, and grievance procedures.
Support performance management and career development initiatives, including performance evaluations, training, and development programs.
Handle payroll and benefits administration, ensuring accurate, timely, and legally compliant processes.
POPI Compliance
Ensure full compliance with the Protection of Personal Information (POPI) Act, protecting employees' and clients' personal information.
Develop, implement, and review privacy policies and procedures to safeguard personal data.
Conduct regular data protection training sessions for employees to foster awareness and understanding of POPI regulations.
Monitor data access and management practices to identify potential breaches or non-compliance issues.
Act as the point of contact for data subjects in relation to personal data queries and access requests.
General Company Compliance
Develop, implement, and enforce compliance programs that meet regulatory requirements and align with company values.
Conduct regular audits and assessments to ensure company policies, procedures, and documentation are compliant with legal standards.
Collaborate with department heads to support department-specific compliance needs.
Provide training and awareness programs for employees to understand regulatory obligations and ethical practices.
Prepare and submit compliance reports to regulatory bodies as needed and maintain accurate compliance records.
Risk Management and Incident Response
Identify, assess, and mitigate risks related to HR practices, POPI, and company compliance.
Develop incident response plans for data breaches or regulatory violations and lead the investigation and resolution of incidents.
Collaborate with legal teams, IT, and external agencies when necessary to address compliance issues promptly.
Reporting and Documentation
Maintain accurate records and documentation on HR, POPI, and compliance activities, ensuring they are secure and accessible only to authorized personnel.
Prepare periodic reports on compliance status, HR metrics, and areas for improvement for senior management.
Qualifications and Skills:
Education: Valid Human Resources qualification, Business Administration, or a related field.
Experience: 3-5 years of experience in HR and compliance, with a focus on data privacy (POPI) and regulatory compliance.
Knowledge:
In-depth understanding of POPI Act, data protection regulations, and HR compliance requirements.
Familiarity with other relevant labour laws and compliance standards.
Skills:
Strong analytical and problem-solving abilities.
Excellent communication and interpersonal skills to engage employees and support cross-departmental collaboration.
Ability to handle sensitive information with integrity and confidentiality.
Attention to detail and a proactive approach to managing compliance and regulatory requirements.
Additional Requirements:
Certification in compliance, HR, or data privacy is advantageous.
Proficiency in HR software and data protection tools is a plus.
