Our client is a specialist in the Manufacturing of windows, doors, showers doors, curtain walls and shopfronts.Purpose Of The RoleThis position acts as the first point of contact for HR-related queries from both management and employees.Role: HR AdministratorLocation: Springfield Park, Durban SARequirementsBachelor's Degree (NQF level 7) or equivalent preferredAt least 2 years of experience as an administrator in a people environmentExperience in benefits and payroll administrationLegislative reporting (EEA2, EEA4, WSP, ATR, BBBEE)SkillsAttention to detailMulti-tasking and prioritizing in a pressurized environmentReport WritingMicrosoft office (Word, Excel, PowerPoint)TeamingSelf-driven with high levels of initiativePeople focusedEmployee Records and DataEnsure that all employee information is accurately uploaded and maintained on the HR System and any other System that may house employee data;Ensure employee files are maintained with the most relevant documentation (soft or hard copies)Handle employee information and records confidentially and in line with the requirements of POPIHR ReportingProduce employee reports at the request of key stakeholdersCollate and coordinate information required for all regulatory reporting (BBBEE, Employment Equity, and Skills Development)Assist with the compilation of the monthly HR report for EXCOProvide department leaders with employee stats as and when requiredRecruitment AdministrationMeet with Hiring Managers to obtain details of requirementsFollow the necessary approval protocolsAdvertise vacanciesWhere approved, liaise with Recruitment Agents, providing directionCreate a database of applicantsShortlist CVs and conduct the first-round of telephonic interviewsShare the shortlist with the Hiring Manager and agree on the interview process going forwardManage the logistics of the interview processSetup and manage technical and/or psychometric tests where requiredConduct reference checks on final shortlisted candidatesPrepare mock payslips where requiredManage the appointment process of the selected candidateOnboardingPrepare Employment packs for all new joinersEnsure IT is aware of new joiners starting so they can prepare hardware and setup before the employee's first dayAssist new joiners to navigate the environment, sharing internal systems and operating protocols, making necessary introductions, collation of outstanding documents and address queriesBe the point of contact for the new joinerManage the Probation processEmployment EquityCollate information required for Employment EquityPrepare the EEA2 and EEA4 for review by XXOversee the activities of the EE ForumHR AdministrationEnsure that all filing related to people practices are maintainedAssist with day-to-day operations of the HR DepartmentManage staff birthdays, long service awards, and key celebrationsCompiling letters for employees (VISA, UIF, Certificates of Service, etc.)Notify IT regarding any organisational structure changesMaintain up to date organograms for the organization and the various departmentsRemuneration & BenefitsPayroll AdministrationEnsure that the monthly payroll spreadsheet is accurately updated and timeously submitted to PayrollManage Employee leave applications, approvals and balancesConsolidate Employee overtime in conjunction with Line Managers and ensure timeous paymentEnsure all queries are handled timeouslyBenefit AdministrationKeep abreast of all external benefit changes and communicate to the relevant partiesAdminister and manage the companies Medical Aid Scheme, Gap Cover, Life and Disability portfoliosTimeously distribute accurate schedules to 3rd parties in respect of medical aid, group life and gap coverAssist staff with enquiries and resolve queries related to benefitsAnnual bonus and increasesAssist with the annual bonus process and maintain accurate recordsAssist with the annual and interim increasesEngagement & Learning AdministrationAssist with logistics of all HR driven initiativesMaintain the HR Activity CalendarKeep record of all training interventions and attendance by monthAssist in the preparation of the WSP, ATR and ensure timeous submission to the SETAOther Ad hoc duties as may be required from time to timeDesired SkillsHR AdministratorReportingRecruitment Process
