As a Hotel Sales Coordinator at our prestigious 5-star hotel, you will support the Sales team in driving revenue growth by managing administrative tasks, coordinating with clients, and ensuring the seamless execution of sales initiatives. Your role is pivotal in maintaining client relationships, coordinating events, and providing outstanding service to ensure guest satisfaction and repeat business.
Key Responsibilities:

Sales Support:

Assist the Sales team in managing client inquiries and sales leads, ensuring timely and professional responses.
Prepare proposals, contracts, and other sales-related documents.
Maintain and update client databases and sales records, ensuring accurate and up-to-date information.
Coordinate site inspections and familiarization trips for potential clients.
Assist in the preparation of sales presentations and promotional materials.
Support the organization of sales events, trade shows, and networking activities.


Client Coordination:

Act as a liaison between the Sales team and other hotel departments to ensure smooth communication and execution of client requests.
Coordinate group bookings, including room blocks, meeting spaces, and special arrangements, ensuring all client needs are met.
Manage and distribute banquet event orders (BEOs) and function sheets, ensuring all details are accurately communicated to relevant departments.
Follow up with clients post-event to gather feedback and ensure satisfaction.


Administrative Duties:

Handle incoming calls and emails, directing inquiries to the appropriate team members or handling them directly.
Maintain an organized filing system for contracts, correspondence, and other sales-related documents.
Monitor and replenish sales office supplies as needed.
Assist in the preparation of sales reports, tracking performance metrics, and analyzing data to identify trends and opportunities.


Relationship Management:

Build and maintain strong relationships with clients, understanding their needs and preferences to provide personalized service.
Assist in the management of key accounts, ensuring regular communication and follow-up to nurture long-term relationships.
Address any client issues or concerns promptly, working to resolve them in a manner that enhances client satisfaction.


Team Collaboration:

Collaborate closely with the Sales and Marketing teams to ensure the successful implementation of sales strategies.
Participate in regular team meetings, contributing ideas and feedback to enhance sales performance and guest satisfaction.
Support other hotel departments as needed to ensure the overall success of hotel operations.



Qualifications:

Bachelor's degree in Hospitality Management, Business, Marketing, or a related field preferred.
Proven experience in a sales or administrative role, preferably in a luxury hotel environment.
Strong organizational and multitasking skills with attention to detail.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and hotel management software (e.g., Opera, Salesforce).
Ability to work effectively under pressure and meet tight deadlines.
A proactive and positive attitude with a passion for delivering exceptional guest service.
Knowledge of the local market and competitive landscape is an advantage.
