To manage assignees in and out of ZA.
To ensure accurate and timely Payroll, Benefit and Global Assignments administration to all local entities.
The successful incumbent will maintain consistent and accurate service to all local sites in line with the internal SLA.
Key Responsibilities Advises employee on International Assignment conditions:Co-ordinates the relocation of short- and long-term assignees and their families including arranging visas, housing, and transportation.Applies business policy & guidelines to advise on entitlements whilst on assignment.Advises and supports assignees to ensure excellent customer service through every stage of the assignment.
Regular contact to be maintained throughout the expat period.Facilitates a successful re-integration back into home country.Instruct assignment changes:Ensure all relevant data changes such as new starters, leavers, start & end of assignment, promotions and extensions are requested to HR Services in the agreed format to ensure accurate data management.Prepare all payment data and send request to HR Services in line with Payroll cut off.Liaise with the Payroll team monthly to ensure all changes have been captured and are correctly maintained within the HR System.Request and support with documentation:Request the relevant documentation be prepared by Employee Centre.
Provide all necessary information for them to create correct assignment documents i.e., contracts and letters.Provide Stakeholders with appropriate reports regarding assignee data as requested.Steer and develop providers:Work with tax, immigration, and relocation providers to ensure all obligations are met in a timely manner and the assignee has a smooth transition period.Escalate any issues which may cause service outages or where the provider is not meeting agreed SLA's.Raise payment requests for vendors as required.Tax & Social Security Implications:Fully understand and advise on the social security and tax implications for the assignees.Ensure tax returns are submitted by assignees.Understand the different types of Visas and Work Permits Required for Inbound assignments to local location.Ensure right to work checks are completed.Understand the different types of Visas and Work Permits Required for Outbound assignments.Refer cases to the immigration provider where visas are required.Query Management:Ensure all queries sent to nominated mailboxes are resolved within the given SLA.Networking:Interfaces regularly with international business partners to develop strong working relationships and wide business understanding.Consult with home and host HRM and Global Assignment teams to ensure effective and efficient service.Finance Cross Charging:Cross Charge costs to relevant Business Entities on a quarterly basis.Administration of the Sponsorship Management Tool:Track and monitor all sponsored migrant activities and ensure the tool is updated and compliant.Monitor the allocation of Certificates and request additions where required.System Updates:Ensure all relevant HR Systems are used to their full potential and always kept up to date i.e., CCM, AMS, INTAMS, ELIDA.Update and Maintain Process Documentation:Ensure process documentation is always created and kept up to date. Internal Stakeholders:Global Assignments & HR Services Team in all home and host locations.Leadership Partner Teams in all home and host locations.Local Finance functions.Tax Department.
Line Management. External Stakeholders:Immigration Provider.Mobility Provider.EY.Tax Authorities. Education:At least 2 years HR Administration or Customer Service Experience.Ideally CIPD or CIPP qualified (or equivalent). Experience:Experience of Global Mobility, International Payroll & Taxes and/or Business Travel topics.Ability to work independently. Additional skills:Good analytical skills and organized in a problem-solving environment.Excellent communication (written and oral) and interpersonal skills.Attention to details, precision oriented.Knowledge of BMW HR processes, policies, instruments, and systems.Experience of working both cross-function and/or internationally.Ability to work independently and able to adopt a proactive approach.Membership of Professional Institution (e.g., CIPP/CIPD) is desirable.
