Please note that this position comes with the opportunity of moving into an Executive role within 2 years. It would suit a more mature candidate who has 10 - 15 years working life expectancy. It is not your normal "run of the mill" role but encompasses many different aspects.The goal of this role is to manage the day-to-day finance activities of the private office in South Africa and to manage the finance activities of certain entities in South Africa which report into the investment office in London.This role reports to, and works closely with, the family members, the head of the private office in South Africa, and the CEO of the private office globally. The family office employee base includes the private office (~36), household employees and estate staff (~57), the investment team (~12), and the philanthropy team (~15).Responsibilities:Finance FunctionManagement of finance team in South Africa with 2 direct reports, including holding a weekly finance team meeting.Preparation of financial and budget reporting for the family members, trusts, and companies within the private and investment office monthly and annually. This includes family members' private philanthropic activities.Responsible for general ledger updates for the family members, trusts, and companies within the private and investment office including the preparation of monthly management accounts. This will include reviewing/providing feedback on the work performed by the two bookkeepers. This includes:Reviewing allocations on all cheque requisitions for cash book and bank entries are correct before processing in various cash books by other members of the finance team.Preparing, verifying, and allocating credit card posting summaries for posting to the general ledger by other members of the finance team.Monthly reconciliation of all intercompany loan accounts.Monthly reconciliation of supplier and customer accounts.Monthly interest calculation for all loans.Maintaining asset registers and accumulated depreciation calculations.Monthly VAT calculations, verification, and submissions.Banking - management of cash flows and bank payments in South Africa for all family members (G1s, G2s, and G3s) including preparing quarterly budgets for projected private expenses. This includes making payments related to the family's private philanthropy (outside the foundation) to suppliers, educational, and medical institutions. This includes:Verifying that all cheque requisitions, invoices, and EFT payments are duly authorised and that all payment and transfer batches are entered correctly on the online banking profile for the various banks to activate the second release of payments.Reviewing cash balances daily to ensure that all excess cash is transferred to call accounts to optimise interest earned.Manage relationships with banking partners.Real estate project support - assisting the head of the private office in South Africa with the management of projects to refurbish family properties in the Cape and Johannesburg including submitting budgets for such projects for approval and monitoring costs against budget during the refurbishment process.Liaising with auditors relating to the audit and tax compliance. Preparation of audit working papers to assist with the audit process.Managing the aircraft in South Africa in conjunction with the aircraft management company and reporting back to the board.SA reserve bank - preparation of all exchange control applications, correspondence, and submissions of BOP forms as well as annual confirmation of loan drawdowns and balances.Company secretarial work (including overseeing any outsourcing of work). This includes preparation of board packs for all the private office and investment office companies. This would include maintaining and updating all company secretarial files, share registers, submission of annual returns and Cipro documentation for all private office companies.Human resources support - assisting the head of the private office in South Africa and chief people officer (based in New York) with full human resources function and payroll processing, including management of pension funds and medical aid, including staff disciplinary processes and annual salary reviews and bonuses.
