About the Position: GPTech is seeking a Finance and Administrative Officer to support an upcoming United States Agency for International Development (USAID) project in Pretoria, South Africa. The Finance and Administrative Officer will support the field office's administrative; accounting, including general ledger, accounts payable, and monthly reconciliations; and payroll at the direction of the Communications Program Manager. The Finance and Administrative Officer will be responsible for managing the contract and finances of the project from the field office side and coordinate same with the GPTech Home Office in the U.S., ensuring compliance with all USAID rules and regulations. The ideal candidate will be organized, results-driven, detail-oriented, and able to execute tasks independently with a high level of accuracy. Responsibilities: Administrative:Manage all administrative functions for the GPTech office and the client.Take accurate meeting notes at all meetings.Prepare agendas and post-meeting reports.Participate in a variety of special projects and compile a variety of reports.Perform general office support duties, including ordering supplies, managing staff calendars and schedules, and maintaining order in conference rooms.Prepare for/support exhibits at conferences and other events.Keep track of tasks and expenses. Accounting:Manage general ledger accounting and monthly financial reports, including review of accounts payable vouchers, review of expense reports, and timely and accurate processing of payments of vendor invoices.Work closely with the Home Office to establish systems for vendor set-up, review, and approval to ensure accurate vendor information in the financial system.Ensure that accounts payable, payroll, prepaid, accrual, and fixed assets/accumulated depreciation accounts are reconciled monthly and comply with generally accepted accounting principles.Reconcile credit card accounts monthly, in compliance with generally accepted accounting principles. Produce monthly general ledger statement of accounts and submit it to the Home Office.Process travel expenses.Support external and internal audits.Carry out other related responsibilities and duties as assigned. Payroll:Review and approve payroll before processing. Manage monthly payroll reconciliation.Prepare weekly, monthly, quarterly, and year-end reports (e.g., gross payroll, hours worked, vacation accrual, tax deductions, benefit deductions) for management.Ensure that staff salary deductions are made correctly and remitted in a timely manner.Communicate with SARS to ensure that all tax requirements are met.Maintain current knowledge of applicable wage and hour laws. Qualifications:Bachelor's degree in accounting or related field with a minimum of 4 years of related experience or equivalent combination of education and experience.USAID experience highly desirable.Experience with QuickBooks and advanced Microsoft Excel skills required.International development industry experience.Ability to read, write, and speak English.Demonstrated ability to work independently, prioritize, and develop timelines and schedules.Strong communication skills, both verbal and written, with the ability to interact effectively and professionally with all levels of staff and management with varying degrees of financial knowledge.
