Executive Personal Assistant
Role Purpose:
The Executive Personal Assistant will provide high-level administrative support to senior executives within the telecommunications industry.This role involves managing the executive's day-to-day activities, facilitating communication, and ensuring the efficient operation of the executives office.The ideal candidate will possess excellent organizational and multitasking skills, with a keen understanding of the telecommunications industrys dynamic nature.
Key Responsibilities:
Executive Support:
Provide proactive support to the executive by managing calendars, scheduling meetings, and coordinating travel arrangements.Screen and prioritize emails, phone calls, and requests, ensuring that only essential matters reach the executive.Prepare and edit documents, reports, presentations, and correspondence as required.Manage the executive's tasks and deadlines, ensuring priorities are met.
Meeting and Event Coordination:
Schedule and coordinate high-level meetings, ensuring agendas, briefing materials, and follow-up tasks are prepared and tracked.Organize internal and external events, including conferences, team meetings, and client functions.Take meeting minutes and ensure follow-up on action items.
Communication and Liaison:
Serve as the primary point of contact between the executive, internal teams, and external stakeholders, including clients and partners.Build and maintain strong relationships with other executive assistants, department heads, and key stakeholders.Ensure confidentiality and handle sensitive information with discretion.
Project Management and Reporting:
Assist with special projects, research, and data collection to support business initiatives.Track the progress of ongoing projects and provide status updates to the executive.Prepare periodic reports on business performance, including dashboards, KPIs, and budget tracking.
Office and Administrative Management:
Manage office supplies, equipment, and ensure smooth office operations.Handle expense reports, purchase orders, and other administrative tasks.Assist with the onboarding of new team members and support the executives direct reports as needed.

Qualifications and Experience:
Proven experience as an Executive Assistant or Personal Assistant, ideally within the telecommunications or technology industry.A degree or diploma in Business Administration, Office Management, or a related field.5+ years of relevant experience providing high-level executive support.Experience with telecommunications industry terminology and processes will be advantageous.Key Performance Indicators (KPIs):
Efficiency in managing executive calendars and scheduling.Accuracy and timeliness of meeting coordination and communication.Effectiveness in managing and tracking projects and follow-ups.Professionalism in handling sensitive and confidential information.
