Introduction
The purpose of this role is to provide professional administrative assistance to the Divisional Executive. It will include (but not be limited to) office administrative tasks at various levels, answering phone calls and managing divisional executive's diary. This role generally operates independently, however requires a high level of professionalism as well as a high degree of organisational and planning skills that contributes directly towards the support of team success.
Job description
Responsibilities
Coordinate & arrange flights, car hire and accommodation logistics for domestic and international, prepare itineraries, visa's, including all matters related to travel management.
Organize, planning Corporate events, Projects, such as Board meetings and Conferences. General duties and ad hoc tasks requests when required.
Secretarial support for MANCO, EXCO and Projects meetings, drafting agendas and minutes, communication, meeting reminders, confirming venues and arranging refreshments accordingly. Continuous monitoring of action items to ensure implementation by relevant members.
Accurately maintain electronic filling of Minutes and Agenda at all times.
Collate, manage and maintain accurate reconciliation of Executive's Credit card accounts for approval and payment.
Submit company expense claims for Executives on a monthly basis.
Effectively manage internal and external stakeholder relationships by ensuring that Management Meetings with Clients are arranged.

Minimum 5 years as an Personnel Assistant to Executive Manager
