Role Summary
This role is all about being the go-to person for our Executive team! We're looking for a super organized and proactive Executive Assistant who can keep the inbox tidy, manage schedules like a pro, and handle all sorts of admin tasks.
You'll be the key player in keeping our office running smoothly, from chatting with clients to supporting the team. Ready to be at the center of the action?
Key Responsibilities

Inbox and Calendar Management: Handle all aspects of the CEO's inbox and calendar, including scheduling client calls bi-weekly, managing reminders, and ensuring optimal time management.
Organizational Tasks: Utilize strong organizational skills to maintain and categorize digital files on Google Drive and project management tools like ClickUp.
Client and Invoice Management: Manage communications and follow-ups with clients, oversee client invoice processes, and handle the transfer of invoices from various platforms to QuickBooks.
Communication and Coordination: Create and manage content for social media platforms such as Behance, Instagram, and LinkedIn. Additionally, prepare team meeting presentations and agendas, and follow up on action items.
Research and Reporting: Conduct research on competing agencies, potential prospects, and new company initiatives; prepare reports based on findings.
Miscellaneous Administrative Support: Perform tasks like updating letterheads, proofreading documents, sorting and forwarding emails, and handling other miscellaneous duties as required.
Qualifying and Disqualifying Applicant Resumes: Review and filter applicant resumes, determining which candidates meet the necessary qualifications for various roles within the organization and which do not.

Those uncomfortable with multitasking or managing a high volume of tasks.
Candidates with less than three years of experience in administrative roles or related fields.
Applicants who prefer clear direction over taking initiative. This job requires someone who can anticipate needs and act independently.
Those who find managing time effectively challenging. This position demands excellent time management skills to handle a dynamic schedule.
Individuals who are not tech-savvy or hesitant to learn new software and tools, as the role depends heavily on using technology efficiently.
Anyone who struggles with maintaining confidentiality and handling sensitive information.

This role is perfect if you:

Are a seasoned assistant with at least 3 years of experience, particularly in a dynamic, fast-paced environment.
Possess exceptional organizational and time management skills.
Are adept at both verbal and written communication and can handle various administrative responsibilities smoothly.
Are comfortable with technology, familiar with digital tools like QuickBooks, Google Drive, ClickUp, and various social media platforms.
Have a proven track record of being a self-starter who anticipates needs and executes tasks with minimal supervision.
Are exceptionally discreet and understand the importance of handling confidential information with care.
Can adapt to the Exec team's personal working style, optimizing their schedule to make the most of each day.
Respond quickly to requests and changes.

ClickUp: This is where we keep all our tasks in check. It's our command center for managing what gets done and when.
Zoom & Google Meet: All our calls, whether they're quick check-ins or longer discussions, happen through Zoom and Google Meet.
Figma: For all our design needs, Figma is the tool. It's where creativity meets collaboration.
Google Workspace (Docs, Sheets, Slides, Calendar etc.): Our mainstay for all types of documents. Whether we're drafting a memo or crunching numbers, it's all happening in Google Docs and Sheets.
QuickBooks: The backbone of our accounting. QuickBooks helps us manage all financial aspects like invoicing and tracking expenses seamlessly.
