Executive AssistantOverviewOur client is the preferred service provider to leading hotels in the Sandton / Rosebank area for their laundry service requirement.
This highly successful, owner-run, modern, commercial laundry specialises in offering cleaned hospitality linen and other on-time all year round.
They take pride in providing excellent results and exceptional service.The owner is looking for an Executive Assistant to join his medium-sized workforce and assist in keeping them at the top of their game.If you are an impressive frontliner with exceptional communication skills and confidence, an active listener and possess an aptitude for numeracy and spreadsheets – then we invite you to apply for this role.Immediately available applications are preferred.Purpose of RoleTo provide extensive and thorough administrative support and tracking to the owner to ensure the business operates seamlessly and maintains its trajectory.The Executive Assistant position is a new role and therefore expected to evolve to meet the needs of the business and primarily that of the owner.
The ideal candidate is highly organised, detail-oriented, diplomatic, flexible and able to handle a wide range of responsibilities.
The candidate should be able to thrive in a dynamic, fast-paced, do-it-yourself environment.
A hands-on and committed approach is necessary to ensure the effectiveness and profitability of the business.Key to the success of this role is the ability to handle high pressure, proactively anticipate needs, think critically and offer solutions to problems with a high-level of professionalism and confidentiality.Primary Responsibilities1.
keeping abreast of the daily movement of incoming and outgoing laundry from the various hotels on customised spreadsheets2.
being able to keep the owner on-point and in-step with activities and performance of the laundromat3.
working alongside the Operations Manager in tracking and trouble-shooting the laundry requirements to avoid potential bottlenecks4.
generate invoicing information for the owner at month-end5.
keeping abreast of laundromat staff rosters and schedules6.
tracking purchases, payments and deliveries for the laundromat7.
liaison with a diversity of hotel representatives and other – telephonically and electronically8.
escalating problems timeously9.
diary management – organise and maintain the owner's diary commitments including proactively following up on outstanding responses and actions required10.
drafting documents where necessary11.
conduct insightful research as requested by the owner12.
all office administration and record-keeping13.
Ad Hoc activities – assist with other tasks as and when requested for the overall benefit of the business, including running personal errands for the owner14.
create a proactive and supportive environmentQualificationsGrade12 / Matric Certificate essentialAdministration or Secretarial qualification preferredMinimum of 8 to 10-years work experience as an Executive Assistant or similar; providing relevant support at executive levelKey Competencies & Skills Requiredexcellent, clear and courteous verbal and written communication skillsadvanced numeracy skillsproficient in Apple MacBook and iPhone functionalitystrong computer literacy skills including Word, Excel and PowerPointfamiliar with Dropbox, GoogleDrive applications, etc.
and open to learning new technical skillsability to work well and professionally within a cross-functional team environment and across diverse communitiesability to take initiative and handle / drive a wide range of tasksaction-oriented; i.e.
