Key Responsibilities:Administrative SupportManage the purchasing authorization process, travel arrangements (local and international), and Forex for international travel.Handle ad hoc personal bookings for the CEO.Contribute to the development and implementation of organizational administrative policies and standards.Secretarial DutiesCommunicate CEO directives to executives, managers, and other stakeholders.Screen calls, visitors, mail, and emails while maintaining organized records, calendars, and diaries.Coordinate meetings, prepare presentations, take minutes, and manage the CEOs expense claims.Insurance ManagementOversee the companys vehicle insurance portfolio, handle claims, and arrange marine/transit cover when necessary.Imports and Forex ManagementEnsure accurate processing of import documentation and manage Forex payments.Work with finance to forecast cash flow for large purchases and book FECs accordingly.Event PlanningOrganize and manage internal and external events, including company Indabas.Self-DevelopmentAssess personal strengths and weaknesses, and pursue actions for professional growth. Requirements:Education: Diploma in Legal Secretarial or Paralegal Studies.Experience: Minimum of 5 years in a related role.Technical Proficiency: Advanced knowledge of Microsoft Office Suite, office practices, and import processing.Key Competencies:Strong organizational and administrative skills.Excellent communication skills in English and Afrikaans.High emotional intelligence, problem-solving ability, and attention to detail.Business acumen and creativity.Additional Responsibilities:Oversee company credit card usage.Maintain transparent and responsive communication across all levels of the organization.
