IntroductionApplications are invited for the position of Executive Assistant – Business Services (Peromnes Grade 10) based at Head Office, Bruma. The successful applicant will be reporting to the Chief Business Services Officer. The purpose of this role is to provide high-level administrative support and assistance to the executive and ensure the smooth and efficient running of the executive's office.
ResponsibilitiesOffice Management: Act as first point of contact for the executive's office and respond to queries.Receive and welcome guests and visitors courteously.Screen incoming calls and take messages.Arrange meetings and prepare agendas.Manage the executive's schedule effectively.Maintain a proper system for handling mail and documents.Compile performance contracts for management team members.Maintain effective and secure e-filing of documents.Arrange travel and accommodation for the executive.Handle sensitive and confidential information with discretion.Order office supplies as needed.Administration: Prepare and process documents using MS Office packages.Draft standard letters and other communications.Coordinate and quality assure reports compiled by management.Take minutes of meetings and distribute them.Prepare expense reports and monitor budget variances.Compile quarterly and ad hoc reports as required.Stakeholder Relations Management: Establish and maintain relationships with relevant stakeholders.Liaise with stakeholders and manage communications.Ensure the corporate identity is reflected in the executive's office.Maintain effective communication channels.Minimum Formal Qualifications:Grade 121-year Secretarial qualification is required3-year Secretarial Diploma including Office Management is advantageousMinimum Years of Experience:Minimum 6 years' experience in a secretarial roleExperience in coordinating a senior manager/executive's office is requiredIf you have not been contacted within 3 weeks of the closing date of this advert, please accept that your application was unsuccessful.
