Purpose of the role:
The Medical Events Manager is responsible for planning, coordinating, and managing medical services at various events, such as sports competitions, concerts, festivals, and corporate gatherings. This role involves ensuring that adequate medical coverage is provided, that all medical personnel are properly equipped and trained, and that all safety and health regulations are adhered to during the event. The Medical Events Manager plays a crucial role in ensuring the health and safety of participants, staff, and attendees.
Main Job Functions:
Event Planning
Work closely with event organizers to understand the specific medical needs of each event.
Conduct risk assessments to identify potential health and safety hazards.
Develop a comprehensive medical plan that outlines the resources, personnel, and procedures required for the event.
Coordinate with other departments, such as security, logistics, and emergency services to ensure a cohesive event plan.
Staffing and Resource Management
Recruit, schedule, and manage medical personnel, including paramedics, nurses, doctors, and first aiders.
Ensure that all medical staff are properly trained, certified, and briefed on the specific requirements of the event.
Organise and distribute medical equipment and supplies, ensuring they are available and operational during the event.
Arrange transportation and other logistics for medical teams as necessary.
On-Site Management
Oversee the setup of medical stations, including first aid tents, ambulances, and mobile units.
Supervise medical teams during the event, ensuring they are effectively deployed and ready to respond to emergencies.
Monitor the health and safety of event participants and attendees, addressing any medical issues that arise promptly and efficiently.
Coordinate with local hospitals and emergency services to ensure seamless patient transfers if necessary.
Compliance & Safety
Ensure that all medical services provided at the event comply with national and local health and safety regulations.
Implement and enforce health and safety protocols, including COVID-19 guidelines, if applicable.
Prepare and submit necessary documentation, such as incident reports, medical records, and compliance forms.
Post-Event Evaluation
Conduct a debriefing session with the medical team to review the event, discussing what went well and identifying areas for improvement.
Prepare a detailed post-event report that includes data on medical incidents, response times, and overall performance.
Implement lessons learned to improve future event medical planning and execution.
Critical experience:
Minimum of 3-5 years of experience in emergency medical services or event medical management.
Experience in managing medical teams and coordinating medical services at large events.
Minimum Education:
Matric
Minimum qualification of Intermediate Life Support Provider
Registration with the Health Professions Council of South Africa (HPCSA) or relevant regulatory body is advantageous.
Additional qualifications or certifications in event management or safety are advantageous.
Technical (systems) knowledge and skills required:
Strong organizational and planning skills, with the ability to manage multiple tasks and projects simultaneously.
Excellent communication and interpersonal skills.
Ability to work under pressure and in high-stress environments.
Strong leadership and team management abilities.
Proficient in the use of relevant medical and event management software.
