The vacancy exists in Cape Town: Century City, for an Estate Manager. The Estate Manager will be responsible for the day-to-day effective management of client estates. Overseeing outsourced service providers and contractors; and liaising with Trustees and owners/residents.The ideal candidate will be responsible for the below Key Performance Areas:Site InspectionCleanliness of entrances, guardhouses, offices, storerooms, staff facilities, refuse areas, garden areas, pathways and drivewaysMaintenance and servicing of buildings, grounds, movable and immovable common propertyMaintaining filed records of contracts, work carried out, and a record for all service and maintenance visitsEnsuring quotes are received from reputable service providers for approval by scheme executivesEnsuring payments to service providers are made, and made only upon satisfactory completion of worksSupervisionSupervision of contractors and ensuring that all body corporate employees are present and carrying out their dutiesMonitoring Estate Security OperationsEnsuring security guards are performing duties as per the service level agreement held with the security companyEnsuring security systems, including electric fencing, CCTV and access control systems are fully operationalLiaising promptly with security guarding and systems providers as and when problems ariseCoordinating submission of access and movement control forms for new residents, sending new residents an information pack, and updating communications databases and intercom systems accordinglyAdministrationMaintaining a current record of all owners and tenantsSending email and SMS communications to all owners/residents regarding important matters impacting the schemeEnforcement of the scheme's Conduct RulesResponding to and acting upon complaints or concerns received from owners/residentsAttending meetings of the board of the Scheme Executives, and preparation of agendas and compilation of minutes for such meetingsExperience, Expectations, And Skills RequiredStrategic thinking - Always required Analysis and problem-solving skills - Always required Judgement and decision-making skills - Always required Agility - Always required Managing conflict - Always required Planning and organizing (Administrative skills) - Always required Detail and quality focus - Often required Communication skills - Vital to the role Numerical skills - Often required Reasoning skills - Always required Ability to build and maintain relationships - Vital to the role The Ideal Candidate Should in his mid or late 30s.
