Our Speciality division is seeking a dynamic Distribution Controller. The primary function and responsibility of a Distribution Controller is to ensure that all trucks are dispatched on time and in full, vehicles returning from trade are debriefed correctly and efficiently in line with company procedures, that all stock returned are inspected and handled according to the returns process. All paperwork, PODs and systems are checked and aligned. Stock to be written off/disposed is actioned timeously according to returns process.
The purpose of the role is to manage the fleet operations team in order to ensure high performance and innovative thinking through the implementation of all people processes in line with agreed KPI's and budgets.
To plan adequate route optimisation and utilization.
To ensure our customer needs are met to expectation.
To provide a link between despatch, drivers, and customer delivery centers for a seamless transition of products.
To provide key trade intel and address regular customer service requirements.
Duties & Responsibilities
Equipment Management
Doing lug (equipment) recons for the Speciality sites and presenting recons timeously when required.
Communicate with customer delivery centers regarding equipment management, requirements and shortages.
Making sure that all sites have enough equipment (lugs and dollies) for production.
Stock Reconciliation
Checking any stock left on the floor at the end of day and take the required actions to clear the floor.
Check if the physical stock and what is captured corresponds and is dispatched correctly on SAP, Smartech, and that all parties sign off the documents.
Check if drivers returns match documentation and have valid reasons and paperwork.
Ensure all vehicles are dispatched timeously with the required paperwork matching the stock loaded, load bars, truck seals, temperature settings etc. to meet the customer slot times as agreed.
Ensure efficient and cost effective product distribution administration
Ensure all GRNs (Goods received note) are checked from the DC and that orders were received as dispatched.
Manage all equipment recons to ensure ERNs (Equipment received note) match what was dispatched.
Managing general operations of the dispatching of trucks.
Ensure all systems are aligned including: Production SAP, Smartech and distribution SAP.
Monitor Vehicle/fleet management procedures are adhered to always.
Keep all recons and system checks up to date.
Efficient and cost effective product distribution
Plan truck loads for optimized utilization.
Ensure trucks are turned around timeously for optimal trips.
Share trucks amongst other sites where possible for improved utilization.
Share visibility with management and operations teams on any product delays impacting distribution and costs.
Customer service levels and on time delivery
Manage expectation with operations teams on dispatch times, slots times and stock requirement.
Ensure trucks are dispatched on time with the correct orders in full by region.
Monitor deliveries in transit to ensure on time arrival and customer alignment.
Manage delivery center expectations on all deliveries and manage exceptions where needed when there is any sort of delays.
Driver competency and delivery time management
Support, train, discipline and lead the drivers to meet the required objectives.
Ensure timeous driver dispatch from the plant with correct invoicing.
Fleet management
Manage the local fleet for optimized utilization and efficiencies.
Track and report trips, diesel, breakdowns and vehicle maintenance
Manage and maintain vehicles licences, fleet cards and fines where applicable.
Minimum Requirements
3-5 years' experience in the relevant position
Grade 12
National Diploma / Degree in Logistics / Supply Chain or similar
Valid Driver's License and own vehicle
MS office – Intermediate
