Dispatch ManagerMAIN PURPOSE OF THE ROLE:To manage and coordinate the smooth dispatch of goods to customers. The incumbent should strive to streamline distribution activities to improve on the achievement of operational targets and ultimately improve customer satisfaction.MINIMUM QUALIFICATION AND EXPERIENCE REQUIRES:Grade 12Tertiary qualification in related field will be advantageous.2 years experience in a management positionSound MS Office experienceSound Syspro experienceSKILLS AND ATTRIBUTES:Must have good problem-solving skills and use own initiative.Good verbal and written communicatorSound numerical/calculation skillsResults driven person and capable of supervising a team.Good interpersonal relationships and team playerGood time management skills and ability to meet deadlines.Must be able to prioritize work and work under pressure.Sound record keeping abilities.Quality focus; determined to get things right the first time.KEY RESPONSIBILITIES AND TASKS:General and Task ManagementCompile stock availability and shortages reportsCollate all the ordersGenerate invoices for all orders on SysproResponsible for customer service levelsResponsible for Driver performance/deliveriesPlan and schedule daily routes and deliveries to ensure efficient deliveries.Check vehicle utilization, fuel and vehicle maintenance.Conduct briefing and debriefing sessions with drivers and assistance.Co-ordinate dispatch cages and ensure that the products are loaded according to the picking slips and invoices.Ensure that all employees adhere to the stock control processes in the department.Maintain safety and roadworthiness of distribution vehicles.Ensure that vehicles are serviced and maintained regularlyManage distribution costs.Ensure that all Food Safety GMPs are followed and adhered toPeople ManagementManage, coach and develop a high performing Dispatch team that meets agreed objectives, and which delivers best practice results, added value and continuous improvements.Set department objectives/KPIs and review and assess ongoing performance of direct reports.Manage and lead the team, ensuring adequate staffing levels.Motivate and coach the team to operational success.Monitor the completion of tasks and ensure good performance and record on appropriate systems.Undertake continuous training and development.Financial and Budget ControlInput and hold responsibility for Dispatch budgets.Prepare the annual Dispatch budget and forecasts and all Capital Expenditure proposals as well as ensuring compliance with legal standards.Manage the budget from identification to completion of projects.Relationship ManagementDevelop and maintain strong relationships with internal and external stakeholders to ensure optimal performance.Work collaboratively, negotiate and engage with key stakeholders to facilitate delivery and compliance with the dispatch strategy.Recommend solutions without compromising quality or service while optimising cost.Liaise and communicate with other departments, customers, suppliers and other service providers.
