Despatch Admin Coordinator

Details of the offer

Responsibilities:

Liaise with production regarding shipment shortages and priorities. Follow up to confirm that all shipments are complete per customer orders.
Co-ordinate with Central Store and Head of Transport regarding all funeral equipment orders and ensure the delivery of goods to customers. Collate all PODs and present to finance department for invoicing.
Collect equipment designated for repairs and dispatch to the correct internal department. Follow up with all departments ensuring that all repairs are completed and returned to correct customers. Collate PODs and present to finance department for invoicing.
Co-ordinate all truck and trailer repairs and services with the Workshop Foreman. Discuss vehicle availability with Head of Transport.
Collate all travel-related expenses and compile trip expense reports for all vehicles. Prepare all trip cash required per vehicle and present to Head of Transport for approval. Reconcile all expenses incurred per vehicle, get it approved and signed by Head of Transport. Submit weekly reports to the Finance Department. Report all anomalies and present improvement proposals to Head of Transport.
Administer all diesel requisitions and reconcile diesel usages per vehicle and submit to Head of Transport for approval.
Do weekly reconciliations of casual labourer requests for use at Agencies. Report all anomalies to Head of Transport for action.
Co-ordinate collections of raw material from Suppliers throughout the country and issue collection notices to Drivers. Follow up to confirm that all planned collections are executed.
Confirm that all stock moving from production to Finished Goods Store is captured into the system and allocated with barcodes for traceability.
Perform weekly cycle counts to ensure the integrity of stock, under the guidance of the Head of Transport.
Confirm that all stock is stored in the correct allocation and following store protocols.

Minimum Requirements:

Code 14 drivers license.
Matric.
3-5 years of experience in the Transport Industry.
Administrative experience.
2 years leading a team.
Computer Literacy is critical.
