Job Purpose: The objective is to fill the position of departmental secretary to the HoD and staff in the TPD department, Faculty of Education at the Mowbray campus.
Job Knowledge, Skills and Experience: At least two (2) years relevant office administration experience and/or relevant experience in engaging with clients or students in educational or industry settings.Excellent knowledge of Microsoft Office Suite (Excel; Word; Power Point)Sound Knowledge of ITSRecommendation(s): A relevant National Diploma or Degree (3-year qualifications) or an equivalent related qualification which focuses on administrative/secretarial skills.Experience in facilitating work integrated learning.Key Performance Areas / Principal Accountabilities: Office management and administrative duties required for the successful functioning of the HOD's office.Placement of students at schools and colleges during Teaching Practice.Establishing and maintaining an effective information and filing system.Prioritizing incoming mail, calls, and messages and responding appropriately.Screen, process, and action all correspondence including preparation of routine or draft requests and/or responses on behalf of the HoD physically and electronically.Database and record administration.Tracking system for submission due dates and deadlines and ensure timeous reminders.Management of stakeholder relationships (both in person and telephonically) and presentation of a professional and helpful image to both internal and external stakeholders.Minute taking, typing and transcription, including agenda preparation.Preparing documentation for submission to internal and external meetings and stakeholders.Responsibility for coordinating national and international travel arrangements, in accordance with University and Divisional policies.Perform other functions as may be assigned by the Head of Department.Professional, respectful engagement with staff, students, and external stakeholders.Good organizational ability.Ability to work under pressure.Good time management.A dedicated commitment to complete all required tasks in the department.Technological competency that enables successful accomplishment of tasks.Insights and experience in the needs of a department in an Education faculty.Good organizational, coordination and planning skills with accuracy and attention to detail.Teamwork and collaboration.General Information: Closing date: 20 October 2024.
