POSITION: CUSTOMER SERVICE /OFFICE ADMINISTRATORCOMPANY: PPF REFINISHLOCATION: DURBANVILLE, CAPE TOWN, SOUTH AFRICAIntroductionPPG Refinish is looking for a high-performing Customer Service/Office Administrator. The ideal candidate will have existing experience in customer service and office administration.ResponsibilitiesDaily Periodically / Weekly Month End Invoicing Direct Customers - (SAP Business 1)Invoicing Distributors - (SAP Business 1)Monitoring and processing back orders for direct and distributor customers (SAP Business 1)Submit & Request approval for credits on Pulse, forward to BIL and customerRectifying any paint stock issues short or over-supply to customersAssisting customers with abrasive queriesRequesting of part numbers to be created and forwarding supplier pricingLiaising with abrasive suppliers regarding new stock or alternativesDaily correspondence with BIL regarding stock, invoicing and deliveriesAnswering the telephone, conveying messages if needed to relevant staffPPG Cape Town Management, Technicians and Drivers Fuel ReconsGeneral Filing - Invoices and delivery notesAdvising customers of price increases and any other PPG notificationsLiaising with customers regarding any queries (invoices, deliveries etc)Petty Cash - Seeing that we have necessities in the office (Office groceries & Detergents)Assisting management / technical with any administration or requestsManaging Cleaner - submitting time sheets etc.Ensure fleet vehicle goes for 10k services & otherMonthly Stationary (ordering, checking)Courier Guy - sending & receiving goodsTechnical Equipment Book - Signing in & out of technical items - registerKonica Minolta - Meter readingsActively contribute to the business to help reach organizational goals.RequirementsMinimum of 2 years' experience in a similar customer service/office administration environmentAbility to engage external customers directly and effectively.Professional and positive approach, self-motivated, team player, dynamic, creative and ability to work on own initiative.Demonstrates strong verbal and written communicationStrong professionalism and work ethic, exhibiting a clear compliance culture.Organizational skills and attention to detail.Good level of Microsoft Office and general computer use.Job DimensionExternally dealing with various stakeholders in the Cape regionBased in Durbanville, Cape Town.Reporting to the National sales manager for Collision in South Africa.PRIME SUCCESS FACTORSA focus on results, engagement, and collaboration within a Team of Teams.
