Assist the Corporate Services department with processing of CE's on Coupa for the GE Budget Get APCC Approval on all supplier quotes Process quotes and track in line with agreed sponsorship and event budgets (both with amounts and Po's issued) Po's to be processed in line with company finance policy Report on budgets on a weekly basis with Corporate Services team Sign off/ close of budget recons at end of each event/project Keep record of any savings/ special negotiations on specific projects Recons on events and sponsorships Finance reports on events and sponsorships Budget tracking of M-Net budget Work with the MultiChoice Finance Administrator on all CE's to be paid from the MC budget Ensure suppliers are paid timeously and according to policy Storeroom management Assist the Executive PA to Corporate Affairs with the management of the Executive Heads diaries and admin duties should they be on leave. Arranging catering/venues/boardrooms for meetings Sponsorship, Event Support and Stakeholder Management – High Risk Provide support on events where there are regulatory stakeholders invited Liaise with protocol officers when Minister's attend events Ensure that all protocol is followed when Minister's attend events Deliver all invitations to Ministers for MultiChoice events Provide the events and sponsorships teams support on their bigger campaigns or when there are numerous events taking place and extra staff is required Travel/Transfers Assisting with booking transfers for Corporate Services team where necessary Assist with booking flights and accommodation for the team and guests attending events Ensure all documentation is in order for international travel for Senior Manager Corporate Services Assist with loading SNT for team Procurement – High Risk Assist Corporate Services with administration pertaining to the onboarding of new suppliers Tracking supplier contracts with agreement limits spend and expiry dates. Work with Procurement on bringing in new suppliers to support the Corporate Services/Affairs department Liaise with Procurement to ensure that all contracts are signed timeously All necessary Procurement documentation is received from the supplier and shared with Procurement timeously Keep supplier up to date with regular feedback on where their application is within the Procurement process Ensure that Procurement are in all pitching sessions VIP Decoder Management – High Risk Manage the VIP Subscription audit on a yearly basis Liaise with MultiChoice Executives and their different stakeholders once the audit has been completed Update the Group Executive Head Corporate Affairs and MultiChoice South Africa CEO on all updates made to the VIP list As the custodian of VIP decoder management: Liaise with Risk and Compliance on the VIP Policy and SOP Liaise with the customer and installation teams on all VIP Decoder and installation queries Liaise with VIP customers and keep them up to date on their query status Liaise with business units across MultiChoice Ensure the VIP Policy and SOP are adhered to Qualifications A relevant diploma or degree, relevant experience, and computer literacy Experience At least 5-8 years' experience in the Corporate Service Administration. Three years of experience planning, RSVP and Registration Ability to introduce new ideas and foresee potential problems at events Communication and writing skills adapted to fit different styles, particularly with outside vendors.
