Requirements:
Degree / Diploma / Relevant Tertiary education3-5 years experience as an Executive PA or Office Manager within the corporate industryWork experience as an executive assistant to team or senior managementExcellent written and verbal communication skillsExtensive Outlook experienceAdvanced Microsoft Word, Excel and PowerPointDuties:
Be responsible for extensive diary managementPlan and coordinate travel arrangements including flights, car hire and accommodationManage and reconcile all expenses on the expense systemEnsure that compliance approval is received in accordance with the FAIS regulationsMetting arrangements - internal and externalDeal with client and staff queries in a professional mannerTyping and formatting of documents and management of foldersTaking actions at internal meetings and distributing to the teamCoordinate due diligences, client meetingsOrganise and book meeting rooms/venuesCompile meeting packs - printing and bindingArrange catering and refreshments for meetingsArrange client gifts as and when necessaryEnsure the office is tidy and log any issues with facilities accordinglyMiscellaneaous errands as and when requestedEvents:
Arrange smaller ad hoc events - max 50 peopleCoordinate external client events which includes but not limited to road shows, workshops, client conferences, golf days, breakfasts, lunches etc.Assist in the coordination of internal staff team buildings / off-sitesBrief and objective discussions with Sales Manager and budget managementSource venues for events, dinners, workshops etcDistribute invitations and follow-up with clients via in-house systemConduct electronic RSVP''s and capturing all information correctly for all eventsAssist with the online registration of guests at events as well as helping with set-up of the event attending and helping with smooth running of event on the dayBe responsible for printing and collation of conference / raod-show / workshop / information packsProvide final reporting post an event for event follow-upsAbility to travelIf you have a client focused and collaborative approach with the ability to analyse, interpret and assimilate information, then this might just be your opportunity.
