Main job function Coordination, administration and monitoring of the procurement process, in accordance with Procurement and the units involved, supporting the E&C managers in managing E&C Procurement Plan and its revisions.
Interface with Procurement to analyze the requirement and the respect of Procurement Plan schedule and present new needs. When necessary, will provide guidance regarding non-compliance or contractual discrepancies recorded during the development of the supply.
Managing and administration of the contract's application on projects, ensuring the proper execution of the contract according to its clauses, conditions, and characteristics, and set monthly coordination meetings and provide support to the organization in any interpretation of the contracts.
Apply the institutional contract policies in every process of contract management and administration.
Review the adequacy of contracts, contracts management processes and contracting strategies with a view to continually improve the contracts management process and strategy.
The Contract Manager will be involved in managing and administration of E&C contracts by carrying out the following activities:
Guarantee a detailed knowledge of the contract. Provide an interface with suppliers for planning aspects related to the supplies/service. Ensure the planning and execution of the activities and related feedback of results to the E&C teams. Management of formal communications to suppliers/service providers relevant to specific projects to be sent by E&C managers. Support the E&C managers in the examination of contract documents for the project. Analyze the progress status of orders and timely demand actions needed from suppliers/contractors. Follow the progress of the supplies, transferring main data to allow monitoring of the activity's progress. Check the contract accounting progress, verifying the status of invoicing process and the actual costs of contracts, in accordance with AFC operational controls. Draft the draw down orders, in accordance with manager's indications on the supply and delivery/service requirements. Support the E&C managers for the collection and preparation of contractual documentation relating to contractual amendments. Upload the purchase requests for all kinds of contracts directly related to the plants. Update the SAP system to allow monitoring of the contract. Upload the draw down orders through the SAP system. Monitor the invoicing process eventually interfacing with AFC in case of discrepancies between accounted invoices (both services and materials) and actual activities to be accounted. Maintain updated the contract management document system (Change Order Request LOG, Project Correspondence LOG, meeting logs etc.). Initiate and manage the timely renewal of contracts in line with procurement policies. Issue payment reports for internal use and to control contracts status. When requested act as buyer to perform delegated purchases. Provide guidance to the E&C department on the application of contracts. Evaluate and record contractor/supplier/service provider performance throughout the contract period. Qualifications Minimum of 4-5 years' experience in Contract Management.
Bachelor's degree or equivalent in contract management, law or engineering.
Experience using SAP and Quality Management System skills.
Proficient PC/Internet skills.
Knowledge of various Windows applications (Excel, Access, Word, PowerPoint) and SAP.
Strong relationship building and teamwork skills.
Salary R800 – R850 per annum.
