Budget/Admin Coordinator

The Budget & Administrative Coordinator is responsible for the systematic management of the capital tax exemption program as it relates to construction purchases.
The coordinator works closely with general construction contractors, sub-contractors and suppliers; as well as Tulane materials management department and accounts payables department.
The coordinator is responsible for reviewing material quotes, opening purchase orders, coordinating contractor approvals of all supplier payments, processing invoices and reconciling contractor pay applications for proper owner direct materials payment deductions.
The coordinator is responsible for ensuring that all contractor, sub-contractor and supplier financial activity fully comply with Tulane's financial compatibly systems as well as federal, state and local tax exemption requirements.
Incumbent participates in external service provider training meetings and serves as project-specific point of contact.
Coordinator assists in the facilitation of financial processes for FMCD branch departments not specifically defined as PD&C.
Incumbent performs administrative tasks as directed.


Working knowledge of Microsoft Office software (Word, Excel, Outlook) required
Must be detail-oriented, with strong organizational skills
Ability to process typical accounting transactions
Ability to effectively interpret and follow oral and written instructions
Ability to work on multiple tasks with multiple groups independently and concurrently and to set priorities toward the completion of work procedures High School Diploma or equivalent
2 years experience in Finance, Accounting or Budgeting Bachelor's degree Knowledge of AIA and Construction Library of Specifications
Experience with Tulane financial software systems (TAMS, Concur, SciQuest, Cognos)
