ADVANTAGEOUS REQUIREMENTSRelevant qualification in Transportation ManagementRelevant qualification in Business ManagementExperience in managing-, scheduling and optimizing a fleet of vehiclesExperience in managing-, scheduling and optimizing a drivers corpsExperience in advanced business reportingExperience in rate calculations, discussions and negotiations.Experience in a booking system for travel or transportation system(s).Experience in managing-, scheduling and dealing with Independent Contractors (Freelance drivers)
People Management GeneralLeave of all permanent employees must be accurately submitted and managedWorking hours must be within legal parameters
Overtime must be carefully managed and limitedThe appropriate disciplinary steps must be taken, following careful investigationsAdherence to company policies and procedures must be ensuredMulti-skilling must take place, to avoid the risk of over-reliance of any individualPerformance management and staff development must take placeHigh staff morale must be maintainedThe company values must be kept alive in a deliberate mannerHR must be supplied with all documentation to maintain up-to-date staff files
Ensure that drivers are adequately managedTheir PDP's must be renewed before they expireHigh risk health conditions must be carefully managedWork distribution must be fair, avoiding favoritismThe necessary training must take placeInvestigations into speeding incidents and accidents must be conductedThe Independent Contractors (Freelancers) must be carefully managed
Client Service Ensure service excellenceEnsure that the vehicles leaving the depot are clean and professionalEnsure that the drivers know how to deliver excellent serviceEnsure that our relationship with key clients is nurtured on an ongoing basisUnderstand client needs and take initiative in pro-active client service
Complaint managementRespond appropriately, professionally and quickly when a complaint is receivedConduct careful, fair, yet quick investigations into all complaintsAddress complaints in such a manner that our client relationship is not damagedLimit compensation paymentKeep careful record of all complaints, to enable accurate data for analysis, when necessary
Operational FleetEnsure that the fleet is well maintained, safe and professional in appearance, at all timesMonitor the fleet utilization, ensure to maximize the utilization of all vehicles, without over-extending the newer vehiclesMonitor that the services and fleet maintenance take place on the correct kilometres to ensure the vehicles is always well maintained and in a very good conditionBuild strong relationships with everyone involved in the fleet, e.g.
workshops/service providers and cleanersMonitor fuel- and maintenance costs, to ensure proper controlInvestigate and flag irregularitiesMonitor sub-hires and unnecessary empty kilometres
Monitor the movement of the fleet, to prevent abuse of the vehicles
Tracking and monitoringKeep the various tracking sheets accurately maintained, to ensure data accuracy
Keep careful track of all complaints, speeding and other incidentsEnsure proper time-keeping for all staff membersMonitor that only authorized entrance and exit into the building are used and that the security and alarm system is in good working order together with the security company
FinancialMonitor and check overtime submissions and Freelancers' invoicingCheck- and sign off on all financial claims or invoicesMonitor the payment of allowances to deserving staff members and ensure that slips are submitted, when necessaryEnsure invoicing take place dailyMonitor that couriers are returned, as they should, and that irregularities are addressedMonitor the branch expenses and prevent unnecessary expensesEnsure that petty cash balances at all timesEnsure that all staff and Freelancer Driver's Bidvest cards balances at all times.
