ROLE PURPOSE: The HR Benefits Administrator will manage the administration of employee benefits schemes, ensuring the effective operation of pensions, health, leave policies, and other employee well-being programmes in coordination with our payroll team. The role requires ensuring compliance with UK employment regulations and providing advice to staff on their entitlements, ensuring all benefits schemes are well communicated and understood across the institution.ROLE and RESPONSIBILITIES: Good understanding of the HR Policies that are relevant to the role; understands the role and focus of HR within the organisation, its business plan/priorities and how these apply to their role. Understands the systems, tools and processes, including the core HR systems used by the organisation, ensuring that tasks are completed within the required timescales set by legislation, payroll, the Company and HR. Administer day-to-day operations of the company's benefits schemes, including holiday buy and sell, health insurance, and other welfare benefits. Process staff enrolment, changes, and terminations in the benefits schemes. Lead communication efforts around benefits, explaining schemes clearly to staff during induction, annual enrolment periods, and throughout employment. Organise and deliver benefits workshops and information sessions. Act as the primary point of contact for employee benefits-related queries, resolving issues, and advising on options. Accurately maintain the department's paperless document system so that comprehensive records are maintained, and documents can be easily retrieved when required. Support and engage employees, ensuring that all queries are addressed efficiently through our ticketing system/shared mailbox. Provide assistance with administrating data and compliance audits as necessary as per the directions of the Head of Department and Line Manager. Maintain relationships with benefits providers (vehicle scheme operators, healthcare insurers, etc.) to ensure smooth delivery of services. Lead the annual benefits enrolment process, coordinating with benefits providers and ensuring timely updates to employee benefit choices. Reconcile monthly pension and benefits statements, coordinating with payroll to ensure correct deductions and contributions. Build/maintain a credible relationship with the Payroll manager where communication mainly takes place over the phone. Prepare reports and analysis on benefits costs, participation rates, and trends for HR leadership. Ensure any issues with benefits claims are escalated appropriately and resolved promptly. Essential Skills and Experience: Bachelor's degree in human resources, Business Administration, or a related field, or equivalent experience. Customer service focused with excellent organisation, prioritisation and time management skills. Computer literacy and proficiency in Microsoft Office and any basic HRIS system. Attention to detail and accuracy. Demonstrable experience in employee benefits administration, preferably in a UK higher education or education sector environment. Knowledge of UK pensions and statutory benefits. Ability to conduct self and work duties in a manner compliant with employment law. The ability to process detailed information accurately, effectively and consistently. Ability to work independently and as part of a team. Ability to learn new policies, processes and systems quickly and adapt. Good level of interpersonal & communication skills. Good written and verbal communication. Good active listening skills.
