Assistant Administrator - Corporate Secretarial - Fund ServicesThe role is to assist with administrative duties and to provide Company Secretarial services that are required to support the successful delivery of administration for a client portfolio. The purpose of the role is to ensure that JTC's internal processes are adhered to, and the highest quality of professional services is provided to the assigned client portfolio. The employee will be required to support the team in being a point of contact for clients, intermediaries, and colleagues in other jurisdictions. Their duties will be performed under the supervision of senior members of the team. The role will require the employee to develop an understanding of company structures and fund structures; to develop an understanding of the principles of corporate governance, and to apply these principles as transactions arise.
MAIN RESPONSIBILITIES AND DUTIES Adhere to Risk and Compliance procedures in relation to regulatory requirements and AML legislation.Adhere to CPD requirements in accordance with internal procedures.Adhere to JTC's core values and expected behaviours.Assist the team with routine administrative tasks as assigned by senior members of the team.Check and maintain the central diary system to ensure that deadlines are met and internal records are kept up to date.Update and maintain Board meeting calendars and schedules on Outlook, as well as organise and attend Board meetings.Assist in the preparation of Board meeting agendas and Board packs.Assist in taking and drafting of minutes and action points following Board meetings.Prepare and arrange for minutes and corporate documentation to be signed.Processing Client instructions.Liaise with clients and intermediaries as necessary and under supervision of the more senior members of the team.Follow internal processes and procedures, working according to set quality standards and controls.Meet personal and team targets as the needs arise.Maintain a strong work ethic and be diligent, proactive, honest, professional, flexible and contribute towards a high team morale.ESSENTIAL REQUIREMENTS Minimum 1 year's relevant experience, within the corporate, legal, fiduciary, fund and trust services (or relevant equivalent) legal sector, with a sound knowledge of the administration, co-ordination and servicing clients within the company secretarial (or relevant equivalent) field will be advantageous.An ability to work well and communicate clearly within a team dynamic.An ability to prioritise effectively with an understanding of delivering within core deadlines.Good analytical skills.Organizational skills and ability to coordinate with multiple parties.Strong attention to detail and accuracy.Knowledge of Microsoft packages, including Excel, Outlook and Word.
