Stellenbosch University Division for Research Development Administrative Officer (Job Level 10) (Stellenbosch Campus) Ref. ANO/250/0924 Duties: The main duties for this full-time permanent position will be the coordination of the DRD capacity building programme, DRD information sessions to researchers, as well as the DRD Early Career Skills Development (ECAD) programme. DRD capacity building programme and information sessions: Coordinating the DRD capacity building programme and information sessions. Setting up of the annual schedule calendar, in collaboration with the Director: Research Information and Strategic Initiatives. Handling workshop/sessions arrangements (venue/online, catering (if required), workshop/information session materials, registrations, queries, etc.). Drafting workshop/information session invitations, as well as handling the marketing and communication of events. Liaising with venue organisers (if required) and workshop/information session facilitators. Processing payments to service providers. Post-workshop/information session evaluation, data capturing and processing for reporting purposes. Providing data and budgeting information on the programme/sessions, as needed. ECAD programme: Administrative support to the ECAD programme. Acting as administrative liaison between mentees/mentors, DRD and academic coordinator of the ECAD programme. Arranging mentee meetings/interviews with the coordinator of the ECAD programme. Organising and coordinating mentor-mentee events. Financial administration of the ECAD programme Record-keeping and providing data related to the ECAD programme. Providing information on ECADs for marketing and communication purposes. Requirements: A relevant post-school qualification (NQF 6), as well as two years relevant experience. Excellent computer proficiency with regard to the Microsoft Office package, specifically MS Excel. Excellent interpersonal skills. The ability to function independently and effectively within a team. Excellent communication skills. Excellent organisational skills. Attention to detail and a sense of responsibility. Recommendations: Experience with SUs financial systems. Knowledge of research administration at a higher education institution. Knowledge and experience in the application of social media platforms (Facebook, Twitter, YouTube, etc.). Knowledge of Adobe Creative Suite: Photoshop, Illustrator, InDesign, Premier Pro. Knowledge of e-communication platforms: Everlytic (newsletter), SYMPA (mailing lists). Knowledge of website management software: SharePoint, WordPress. Knowledge of content creation platforms: Canva, CanvaPro.
