SUMMARY OF POSITION The Administrative Manager is responsible for overseeing the daily administrative operations of the organization, including managing office facilities, supervising support staff, and coordinating administrative procedures. The Administrative Manager will work closely with department heads to ensure that administrative processes will be aligned with organizational goals and objectives and will take charge of various projects and initiatives to improve office efficiency and effectiveness.
ROLES AND RESPONSIBILITIES Management Overseeing daily operations: The administrative manager will be responsible for ensuring that all administrative functions of the branch are running smoothly. This includes supervising staff, managing budgets, and ensuring compliance with organizational policies and procedures.Managing personnel: The administrative manager will be responsible for hiring, training, and supervising administrative and office support staff (stores, cleaner and gardener). They will also be responsible for setting goals and objectives for the team and evaluating their performance. Conduct performance evaluations and provide feedback to support staff. Collaborate with department heads to identify and resolve administrative issues and concerns.Continuous improvement: The administrative manager will be responsible for identifying areas for improvement within the administrative department and developing strategies and to addressing them with the National Admin Manager should any processes be reviewed or changed. This will involve implementing new technologies or processes or providing additional training to staff.Planning and Coordination Budgeting and financial management: The administrative manager will be responsible for creating and managing budgets for the administrative department. This includes tracking expenses, preparing financial reports, reviewing/understanding the branch income statement, and ensuring that the department operates within its allocated budgets and that projects do not run over the set margins given by the Sales Department. Ensuring that all future costs relating to current jobs be recorded and monitored.Communication and coordination: The administrative manager will be responsible for coordinating with other departments within the branch, as well as communicating with external partners, vendors, suppliers, and clients. This may involve attending meetings, responding to emails, and coordinating with other departments.Project management: The administrative manager may also be responsible for overseeing and managing projects within the administrative department, such as developing new policies or implementing new procedures with assistance from the National Admin Manager. This can also include overseeing current projects that is being done through the Operations department, keeping track of expenses, and ensuring that the project operates within its allocated margin (budget).Strategic planning: The administrative manager will be responsible for developing and implementing strategic plans for the administrative department, to ensure that it is aligned with the organization's overall goals and objectives.Administration Record-keeping and documentation: The administrative manager will be responsible for maintaining accurate records and documentation for the administrative department. This will include maintaining employee files, financial records, and other important documents for example disciplinary documents etc.Assisting the Branch Manager Branch Support: Provide support to the branch manager by helping them with tasks such as budgeting, staffing, inventory management, and other day-to-day administrative tasks.Training and Development: Support the branch manager by providing training and development opportunities to help them improve the administrative department's skills and knowledge. This could include in-house training, external training, leadership development, or other relevant areas.Communication: It's important for the administrative manager to maintain open lines of communication with the branch manager to ensure they are aware of any updates, changes, or challenges that may arise. This can include regular check-ins, team meetings, and other communication channels.Problem-solving: Support the branch manager by helping them solve problems that may arise. This could include addressing customer complaints, resolving operational/stores issues, or other challenges that may arise.Resource Allocation: Support the branch manager by allocating resources such as staff, equipment, and funding to help them achieve their goals and objectives. This could include providing additional staff during busy periods or investing in new equipment to improve daily functions.Any other reasonable duties and responsibilities in line with your capabilities and at the request of your SuperiorOverall, the key is to work collaboratively with the branch manager to understand their needs and provide the necessary support to help them achieve their goals, not just in the branch but on organizational level as well.
Working Conditions The Administrative Manager will work primarily in an office environment.The position may require occasional evening or weekend work.The Administrative Manager may be required to travel occasionally.Health, Safety, Quality and Environmental Responsibilities Report any deviations that could lead to an accidentParticipate in Safety Training to improve safety standardsReport incidents and accidents before the end of a shiftAdhere to the Company's Health and Safety policy and procedureLook after your own safety and that of other employeesEnsure that the SHEQ Management System requirements are met towards customer, internal, ISO, regulatory / legal requirements.Manage and perform all internal processes, especially those that affect the quality of the Organization's products.Work with Customers, Colleagues and Contractors towards continual improvement of the Management system and report the need for improvement to Management.Keep up standards and regulations with respect to Products and ServicesAny other reasonable duties and responsibilities in line with your capabilities and at the request of your Superior JOB REQUIREMENTS Degree in business administration, management, or a related field.3-5 years of experience in an administrative or management role.Proficiency in Google Suite and other relevant software programs.Knowledge of office management procedures and best practices.Strong leadership and communication skills.Excellent organizational skills and attention to detail.Proficient in "Current ERP Systems" and other relevant software.Excellent verbal and written communication skills in English.Ability to multitask and prioritize tasks effectively.Excellent problem-solving skills.Ability to work independently and as part of a team.It will be an advantage if candidate has with experience in specific areas such as:
