Full job descriptionWe are looking for a Receptionist and Office Administrator to provide dedicated, professional and general administrative support, handle and coordinate the activities of the front-office reception, including the booking of meeting rooms, and supervise the General Office Workers.Responsibilities and DutiesOffice Administration and SupportMonitors and maintains levels of office provisions including stationery, groceries, refreshments and consumables, for the Head Office and Depots, ensuring that prices are in line with cost cutting initiativesRequests quotes from suppliers and obtains prior approvals before ordering furniture, equipment and appliancesMaintains an accurate, efficient and accessible record keeping and filing systemReceives, sorts and distributes internal mailMakes all travel arrangements as requestedFront Office and Reception SupportActs as an Afrirent ambassador at all timesOperates the switchboard efficiently, and answers and correctly directs all incoming callsTakes and relays adequate messages to the relevant employeesHandles and resolves client queries as necessary or redirects queries to the relevant department / employeeWelcomes and interacts with all guests professionally and makes sure that they are attended to timeouslyMaintains a neat and tidy reception at all timesMaintains an updated telephone directoryCoordinates and books meeting roomsFacilitates the preparation of meeting roomsArranges catering and refreshments as requestedHandles all incoming deliveries effectively and efficientlyCoordinates and arranges outgoing parcels and documentsCoordinates maintenance requests and final repairs by liaising with suppliers and service providers, receives and submits quotes for approvalPetty Cash AdministrationMaintains accurate supporting documentation in order to manage the petty cashCompiles and submits approved weekly petty cash reconciliations to the Finance Department as per approved proceduresOffice Cleaning SupervisionSupervises the activities and schedules of the General WorkersSupervises the team in line with company policiesFosters a suitable and supportive environment conducive to staff development and the achievement of departmental objectivesImplements staff development and training to achieve the unit and organisational objectivesImplements performance management, reviews the performance of subordinate staff and refers performance and disciplinary matters to Human ResourcesParticipates in the recruitment and selection of subordinate staffQualificationsMinimumGrade 12 (NQF level 4)IdealCertificate (NQF level 5) in Office Administration will be advantageousExperienceMinimum1 - 2 years' office administrative / reception experienceJob Types: Full-time, PermanentPay: R12 000,00 - R15 000,00 per month
