Administration Officer PRETORIA Admin and Office Management Pretoria - Gauteng Administration Officer PRETORIA 12 month fixed term contract R246 500pa Purpose of the post: To render administrative support within the office of the Deputy Director General: Corporate Services.
Key performance areas: Financial administration and coordination: Monitor monthly expenditure patterns and trends to budget projections.
Reconcile expenditure projection with the actual spending.
Coordinate financial planning processes.
Complete relevant documentation for transfer of funds.
Process payment for procurement of goods and service.
Administration support: Administer documents and check for compliance in line with the required DSI standard (formatting etc.)
or government prescripts.
Monitor outgoing and incoming documentations and monitor compliance as outlined by various units.
Draft routine letters, memos, reports, submissions, etc.
Provide secretariat services in the meeting when required.
Diary management Conduct logistical arrangements (travel arrangements, booking of venues, catering etc.)
Coordinate and consolidate monthly, quarterly and annual plans and reports within the DDG.
Project administration: Provide assistance in developing project plans and capture progress in the projects cycle.
Track progress on programme issue log and risk log with relevant project team members internally or externally and issue reminders and follow up actions.
Compile updated progress feedback letters based on the projects schedules and progress meetings.
Identify and compile possible project risks and compile reports for management action.
File and maintain updated records of projects (eg: financial expenditure, reports, memos, letters, contract status schedules etc) Receive and check documents and letters compiled by the stakeholders, implementing units and ensure that they are processed accordly.
Documents and records keeping: Track progress on programme issue log and risk log with relevant project team members internally or externally and issue reminders and follow up actions.
Maintain filing system manually and electronically within DDG.
Competencies, Knowledge, and Skills: Departmental policies and procedures.
Office administration practices and procedures.
Advanced use of word processing, spreadsheet and other software to create documents and materials requiring the interpretation and manipulation of data.
Knowledge of financial and administrative management.
Knowledge of Public Service Regulation Act.
Written and verbal communication skills Report writing skills Events coordination Computer literacy and information management systems Planning and organising Record keeping Be able to liaise with different stakeholders at different levels Team player who can work independently Proactive and innovative Willing to learn Minimum requirements: 1 year of experience working in the Office of the Director or above in public administration environment National diploma NQF 6 in Public Administration / Office Management and Technology/ Business Management Closing date for applications: 8 July 2024 Should you not hear from us within 14 days, please consider your application unsuccessful.
