A vacancy exists for an Administration Clerk based at Life Wilgers Hospital, reporting to the Finance and Admin Manager. The successful candidate will be responsible for providing full secretarial and administrative support to the Finance and Admin Manager and her team.
Critical OutputsCustodian of the PAIA processAssist with medical records requests; downloading files as most files are scanned, which is a time-consuming process especially for large files.Assist with requesting files from Scanco when they are not loaded on DigilifeTelephone answering duties as per LHC policiesKeeping and circulating minutes of meetingsManaging and maintaining an efficient filing systemDealing with telephonic inquiries for the managersSetting up meetings and taking minutes/interviews and all associated arrangementsInterfacing professionally with internal and external customersAssist in arranging functions and conferencesAssisting in complaint investigations and customer feedbackAssist with authorization issues that doctors or patients have and try to resolve themAdministrative support in ordering supplies, email distribution, and assisting in dutiesFollow up on LOM'sManaging email inbox for funder feedbackCheck dashboards (e.g., reprice errors, resolved issues)Assist with evaluations and auditsRequirementsKnowledge of the healthcare industry will be to your advantage.Grade 12 Qualification and computer proficiency – a test could be performed.Admin/Secretarial qualification will be advantageousStrong customer service ethic and ability to work under pressure – multitask.Knowledge of Impilo advantageousReliable, motivated, and hardworkingUnderstanding of the private healthcare industry, its challenges, and role players would be advantageous.Knowledge of funder rules related to hospitalization will be advantageousAccuracy, speed, and attention to detail with good language and grammar skills are essentialCompetenciesStrong computer literacy: Word, Excel, Outlook, PowerPoint.Excellent communication and interpersonal skills a prerequisite.Experience in dealing with customers.Problem-solving and judgmentResilienceTeamworkSelf-managementVerbal and written communication skillsDeadline drivenDrive and energyExcellence orientationEthical behaviorBuilding relationships & networkingCustomer service orientationAbility to manage stressEmail: ****** Closing date: Sunday, October 13, 2024 Internal applicants - Before making an application, you are requested to discuss your application with your line manager.
