Our Club Travel team is looking for an experienced Accounts Administrator to join the team! About the Role: The Accounts Administrator is responsible for providing comprehensive accounts administration support to the Franchise division within Club Travel. This role involves administering the division's financial aspects, including debtor administration, invoice processing, and monthly reporting. The administrator will work closely with Independent Travel Consultants (ITCs) to ensure timely and accurate financial transactions and monthly reports. Key Responsibilities Debtor Administration:Manage outstanding payments from ITCs, following up on overdue invoices and resolving queries.Ensure adherence to contract payment terms and advise the Franchise Division of deviations.Handle telephone requests and queries within the agreed turnaround time.Invoice Processing:Generate customer listings and allocate cash payments against invoices.Ensure accurate and timely invoicing, including relevant fees/commissions.Prepare and send monthly statements to ITCs, following up on payments.Month-End Processes:Adhere to month-end procedures, including preparing transactional sheets, running reports, and processing journals.Ensure accurate calculation and processing of management fees, commissions, and ad hoc charges.Compile and distribute month-end packs to ITCs within stipulated deadlines.System and Process Compliance:Understand and adhere to Standard Operating Procedures (SOPs).Ensure compliance with relevant legislation, regulations, and governance practices.Adapt to new system changes and technologies as needed.General Administration:Handle administrative tasks such as filing, document management, and data entry.Assist with audit requests timeously.Maintain confidentiality of sensitive financial information.Support with any other tasks or projects reasonably delegated or requested of you.Teamwork and Collaboration:Work effectively as part of the Finance team, contributing to a positive and supportive work environment.Collaborate with other departments to ensure smooth operations and efficient communication. Skills and Qualifications Matric (RPL for bookkeeping/accounting may be considered).+2 years of experience in debtor administration.Bookkeeping qualification or diploma preferred.Proficiency in MS Office, especially Excel (able to work in Google Suite effectively too).Strong attention to detail and organisational skills.Excellent written and verbal communication skills.Ability to work under pressure and meet deadlines.Approachable with excellent customer service/relationship skills.Team player. By effectively fulfilling these responsibilities and demonstrating the required knowledge, skills, and competencies, the Accounts Administrator will contribute significantly to the financial success and sustainability of the Club Travel Group.
