IntroductionMANCOSA, a DHET registered and CHE accredited private higher education distance education provider, offering undergraduate and postgraduate Education qualifications, has the following vacancy available: Academic Monitoring Officer.
Core Purpose The Academic Monitoring Officer is responsible for coordinating, managing, and providing support to the Monitoring and Evaluation Department and the institution at all levels to ensure that all internal compliance related to accreditation is aligned to higher education regulatory requirements and any other relevant regulations.
Core Functions The successful appointee will be responsible for delivering on important accreditation and quality assurance projects, including but not limited to:
Accreditation & ComplianceAssume responsibility to coordinate all compliance and regulatory tasks.Facilitate the collating, compiling, and submitting the DHET Annual Report in adherence to the guidelines provided by the DHET.Ensure that verification of SAQA records and overseeing NLRD uploads to the HEQCIS according to the standardized template issued.Review and submit the HEQC accreditation applications and the SAQA and DHET applications in accordance with the criteria specified by each regulatory body.Review and submit accreditation applications to the relevant professional bodies as determined by the appropriate committees.Evaluate and upload approved HEQC reaccreditation applications for the DHET re-registration cycles and oversee the process by which the programmes were reviewed.Monitor, evaluate, and coordinate the implementation of all regulatory requirements and conduct an annual internal institutional regulatory compliance review.Attend appropriate meetings, conferences, or workshops held by regulatory bodies.Coordinate the provision of timely responses and resolutions.Coordinate the collating, compiling, and submitting institutional accreditation applications for regions.Review regional report submissions in accordance with internal and external quality assurance requirements.Conduct site visits to facilitate quality improvement and training with the regional staff.Liaise with regulatory/accreditation body to establish site visit date and requirements inclusive of accommodation/entertainment for the panel.Consult with the appropriate stakeholders to develop detailed project plans related to the site visit, including the collation, review, and editing of site visit documentation; logistics planning as well as execution of the site visit itself.Manage collection and analysis of information and check that the data is accurate, and that the requirements of the appropriate regulatory body are being met.Distill information from a range of sources into a coherent picture that fits with the strategic plan of the institution.Research information and evidence not currently available within the Institution, to benchmark against competitors.Prepare the panel base room with all site visit documents and equipment requirements.Quality Assurance Management SystemMonitor the implementation of the Quality Management System.Conduct training for staff regarding the OAMS and the relevant expectations.Monitor the implementation of the academic and operational calendar and adherence to deadlines.Monitor committee activities and implementation of resolutions.Ensure that correct and current documents are maintained on the OAMS.Facilitate the submission of quality documents required from departments.Monitor the implementation of planned quality improvement initiatives.Facilitate the cascading of OAMS to all departments.QAF/IQF Transition to Quality Advancement Plan (QAP)Facilitate the implementation of the QAF/IQF transition to QAP.Provide ongoing training for Monitoring and Evaluation staff.Monitor the processes by which policies and standard operating procedures across the institution are approved and communicated for implementation.Participate in reviewing institutional documents including but not limited to policies, procedures, website content, and other materials for stakeholder consumption.Monitor the implementation of the QAP.Guide quality assurance activities in the regions.Review regional report submissions in accordance with internal and external quality assurance requirements.Conduct site visits to facilitate quality improvement and training with the regional staff.Perform Academic Functions in the following elements:Demonstrable experience in developing frameworks, plans, and implementing systems and tools to support activities.Develop and disseminate quality assurance tools and processes that are fit for purpose.Demonstrable experience in coordinating with multiple stakeholders for data collection, data verification, reporting, and dissemination.Demonstrable experience in data analysis, data visualization, and report writing.Monitor the quality cycle of the measurement tools such as surveys and questionnaires in the institution.Track and report on progress against set implementation plans and deliverables.Develop and/or review the self-evaluation reports and present them to pertinent committees.After receiving the review reports, collaborate with relevant departments to address recommendations and facilitate the submission of improvement plans.Follow up on the implementation of these improvement plans and verify the mechanisms for monitoring them.Curriculum mapping and review.Understanding of assessment strategy development/Bloom's Taxonomy and other research.Understanding of Teaching and Learning.QualificationsPostgraduate Diploma in Higher Education Management or equivalent.ExperienceFive years' experience in Higher Education accreditation and compliance.Essential Job Related Knowledge, Skills and BehaviourImpeccable English verbal and written skills.Demonstrate a thorough understanding of the South African Higher Education landscape.Organizational and coordination skills.Data analysis and interpretation skills.Communication skills, both verbal and written.Advanced working knowledge of technology tools such as Excel, Word, PowerPoint, and Outlook.Integral knowledge of the higher education framework and relevant legislative requirements both locally and in the regions.
